We are seeking a highly organised, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to C-Suite Directors within our International client. This role is critical in ensuring the executive’s time is maximised, operations run smoothly, and key priorities are progressed with efficiency and discretion.
The ideal candidate is a trusted partner who anticipates needs, thrives in a fast-paced environment, and excels in managing competing priorities with professionalism and calm under pressure.
Key Responsibilities- Calendar Management: Own complex diary scheduling, balancing priorities and ensuring optimal time allocation.
- Meeting Coordination: Organise internal and external meetings, board meetings, offsites, and team sessions. Prepare agendas, take minutes, and follow up on actions.
- Travel Management: Plan and coordinate international and domestic travel including itineraries, visas, accommodations, and transport.
- Event Management: Plan and coordinate key corporate events throughout the year.
- Inbox Management: Monitor and triage emails on behalf of the executive; draft correspondence and handle sensitive information with discretion.
- Administrative Support: Prepare presentations, reports, and briefing documents. Manage expenses, invoices, and budget tracking as needed.
- Stakeholder Liaison: Serve as a point of contact between the executive and internal/external stakeholders.
- Project Support: Assist with special projects, research, and cross-functional initiatives.
- Confidentiality & Discretion: Handle confidential business and personal information with absolute professionalism.
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar support role at senior executive level.
- Exceptional organisational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- Experience handling sensitive and confidential information.
- Ability to work independently, make sound decisions, and adapt quickly in a fast-paced environment.
