Our client has a full-time, permanent vacancy for an Administrator/Receptionist to join their friendly team.
Responsibilities:
- Welcoming clients, visitors and staff attending the office
- Following visitor sign in procedures when visitors arrive for meetings
- Monitoring of the suite of meeting rooms to ensure they are kept tidy and in good working order for all meetings
- Provision of appropriate refreshments within the meeting rooms as and when requested
- Supporting the setup of meeting rooms and catering for client and/or staff events
- Assist with meeting room bookings
- Answering and directing incoming calls across offices
- Directing of enquiries to the relevant departments
- Ensure attendance registers are printed and updated accordingly
- Responsibility for incoming and outgoing post and arranging distribution of post internally
- Dealing with incoming deliveries
- Management of the Franking machine and liaison with Royal Mail
- Managing the ordering of stationery
- Support in the ordering of supplies
- Binding of relevant documents
- Support with laminating activities
- Support with file retrievals from off-site storage
- Scanning, preparing and photocopying documents
- Ensure reception area is neat and tidy at all times
- General administrative duties
Requirements:
- Previous experience in a similar role would be ideal but experience in a customer facing role would be beneficial
- Enjoy a high level of interaction with clients, staff and visitors displaying a welcoming and professional approach at all times
- Friendly and professional manner
- Excellent verbal and written communication skills
- Excellent telephone manner
- Confidentiality, discretion and diplomacy with the ability to deal tactfully and diplomatically with a wide range of people
- Excellent time management skills demonstrating the ability to organise and manage changing priorities on an ongoing basis
- Ability to demonstrate a courteous, helpful and service-orientated manner both in person and on the phone
- Ability to work both autonomously and within a team with a positive ‘can-do’ attitude and strong interpersonal skills
- Efficiency, reliability and flexibility
- Ability to use initiative when required
- Proven IT skills, including MS Word, Outlook and Excel
- A valid driving licence would be advantageous
