Our client has an exciting opportunity for an experienced full-time Legal Secretary to join their residential conveyancing team. Experience in residential conveyancing would be an advantage.
Responsibilities
- Supporting solicitors and partners with the day-to-day running of their files
- The production of documents and correspondence using audio/copy typing
- Undertaking searches and processing post-completion actions
- Completion and submission of standard template documents
- Attending to clients and others, both on the telephone and in person, handling initial enquiries and/or taking detailed messages to enable the appropriate person to deal with the matter on their return
- Managing Fee Earners' diaries, including scheduling appointments, arranging meetings, organising travel as appropriate, and ensuring meetings have appropriate facilities (e.g., meeting rooms, refreshments)
- Setting up new files accurately and speedily on instruction
- Maintaining Fee Earners' client details on the firm's database and updating as required
- Handling filing and storage/retrieval requirements for client files
- Ensuring files are compliant and managing money laundering checks, keeping associated records
- Assisting in the smooth running of the administration and secretarial support within the department, supporting other Fee Earners and secretarial staff where appropriate
- Ensuring confidentiality of all practice and client data and related documentation
- Undertaking any other ad hoc duties as requested by professional staff in the department
- Providing support as requested in firm-wide and departmental marketing events
Requirements
- Previous experience as a secretary, preferably in Residential Conveyancing, although other experience will be considered
- Excellent interpersonal skills and clear written and oral communication
- Proven audio typing experience
- Excellent organisational skills
- Ability to communicate effectively in writing and orally with a wide range of people
- Courteous, helpful and pleasant manner both in person and on the phone
- Efficiency, reliability and flexibility; able to organise workload to meet changing deadlines and prioritise across the team
- Self-motivation with the ability to be a self-starter and work independently or within a team
- Proven IT skills, including the use of case management systems, MS Word, Outlook and Excel
- Personal pride in the quality of their work, delivered to a high standard within required timeframes
