About the Role:
We are seeking an experienced and highly organised Personal Assistant (PA) to provide first-class administrative support to the CEO & MD . This role is ideal for a proactive professional who thrives in a fast-paced environment, demonstrating exceptional communication skills , strong attention to detail, and the ability to multitask efficiently.
The successful candidate will be responsible for managing the CEO/MD\’s schedules, workload, and meeting commitments , ensuring seamless co-ordination across all business functions.
Key Responsibilities:
PA & Administrative Support:
- Act as the first point of contact for the CEO/MD, handling enquiries and messages professionally.
- Manage emails , ensuring timely responses and appropriate follow-ups.
- Coordinate internal and external meetings , including scheduling, preparing materials, and taking minutes.
- Oversee diary management , ensuring smooth scheduling in alignment with business priorities.
- Track and follow up on key action points with the CEO/MD and the Senior Leadership Team .
- Provide ad hoc administrative support , including handling sensitive information with utmost confidentiality .
Office Management:
- Liaise with office cleaners and service providers to ensure a well-maintained workspace.
- Order and manage office supplies to ensure operational efficiency.
- Collaborate with the IT team to address general office maintenance needs.
- Assist in coordinating employee recognition activities , such as milestone celebrations.
Key Requirements:
- Minimum 5 years\’ experience as a Personal Assistant at CEO/MD level within a fast-paced commercial environment.
- Excellent verbal and written communication skills with a professional approach.
- Strong ability to prioritise workloads , multitask, and maintain efficiency under pressure.
- High level of confidentiality, discretion, and professionalism .
- Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook) .
- Highly organised, detail-oriented, and adaptable , with a problem-solving mindset .
