Location: Belfast Working hours: 20 hours a week, Monday to Friday 10.00am to 2.00pm About the role As HR Assistant you handle the administration behind every stage of the employee journey across ICW Group offers, contracts, starters, absence, contractual changes and leavers. Managers rely on the records you keep and the documents you issue being right first time, and colleagues rely on you handling what they bring you properly and discreetly. This is a part-time role, 10am to 2pm, Monday to Friday, in a small HR team supporting managers across the group. The role is administrative at heart: accurate records, documents that are right first time and a clear answer when a manager has a question about process. You will see the whole employee lifecycle rather than one piece of it, working directly with the Group HR Manager. Skills and experience matter. So does how you work. What youll be doing You provide the administrative support that keeps HR running accurately, on time and in line with employment legislation, data protection and company policy. Managers run their own people processes; HR gives them the records, documents, guidance and oversight to do it properly. Working with the Group HR Manager, managers across the group and external partners, you will: Run the joiners, movers and leavers process on the HR system, taking the information managers provide and processing starters, movers, leavers and contractual changes accurately, confidentially and on time. Support recruitment and onboarding, coordinating interviews, preparing offer documentation and having new starters set up on the system and ready for their manager on day one. Prepare HR documentation contracts, letters, reports and employee communications checked before it goes out and issued on time. Maintain oversight of one-to-ones, probation and performance reviews, keeping records of completion current so that compliance with process can be reported to senior leadership. Be the first point of contact for HR queries from managers and employees, advising on process, answering promptly and escalating where appropriate. Support compliance and HR best practice, completing processes in line with employment legislation, data protection (GDPR) and company policies. Provide administrative support for employee relations matters, arranging meetings, preparing documentation and tracking actions. Keep HR templates, forms and guidance current, so that managers have what they need to run their own people processes properly. What were looking for Solid administration experience in a process-driven office role HR, payroll, finance, legal, insurance or similar. A track record of accurate work: you check your own output and it rarely comes back. Ability to manage a steady workload within fixed hours, prioritising and meeting deadlines without losing accuracy. Confident with Microsoft 365 (Outlook, Word, Excel) and quick to learn new systems. Clear, professional written and verbal communication. A professional approach to confidential and sensitive information. Desirable Experience in an HR, payroll or similar administration role.
