We are looking for an apprentice to provide Administration Support to the ICS site team ensuring customer records are maintained and updated effectively, customer queries are logged timely, administrative tasks are carried out to a high standard and systems and manual records for personal and plant are kept up to date.
Your Mission at Elis:
- Dealing with all communication to the office via telephone, email and in person effectively and efficiently.
- Processing all contractual paperwork in line with company guidelines and making the relevant changes to AX/SOL systems and recording accurately.
- Providing customers including Frameworks with accurate contractual reports.
- Accurately processing supplier invoicing for the office, raising and correcting PO’s and finance orders.
- Keeping accurate minutes for meetings and calls.
- Raising Manual Invoices/Credits to customer accounts.
- Expense Management: Processing employee expenses, managing petty cash, and reconciling bank statements.
- General Administration duties (hotel bookings, invoice processing, stationery).
- Support on our CRM System along with providing training to team members.
- Keeping accurate actions for meetings and customer visits.
- Filing & Data Entry when required.
- Reception Duties: Greeting visitors and managing front-desk operations.
- Supporting the credit control team chasing outstanding invoices.
- Supporting in meeting and event organisation.
- Diary Management: Managing calendars for managers, booking appointments, and avoiding scheduling conflicts.
- Supporting with HR admin processes on site.
- Records Maintenance: Managing employee records, including holiday, sickness, and performance reviews.
- Supporting the Team with any business projects onboarding: Preparing documents for new hires, setting up IT access, and giving office tours.
- Any other reason requests from the Team.
