The Fleet and Maintenance Coordinator is responsible for managing, maintenance tracking and location tracking of Iconic vehicles, heavy equipment, and rental equipment to ensure its optimal use and operational effectiveness. The Fleet & Maintenance Coordinator is also responsible to ensure registration and licensing is completed for all highway vehicles. Additionally, the Fleet & Maintenance Coordinator ensures the fleet remains compliant with all regulations that impact our ongoing operations and is responsible for organizing and dispatching IPS Transportation needs related to project materials, fleet equipment and tooling.
Qualifications- High School Diploma or GED or equivalent Trade Certification for Heavy Duty or Automotive
- Fleet Management experience and/or Business Certificate/Diploma
- 5+ years in fleet maintenance role
- Working knowledge of regulatory requirements regarding equipment and maintenance
- Experience in dealing with customer focus service providers
- Experience working in a Heavy Duty or Automotive shop environment/facility
- Knowledge of commercial vehicle registration and compliance
- Thorough knowledge of materials, methods and techniques used on fleet maintenance activities and facility maintenance
- Demonstrated knowledge of budgeting and purchasing procedures
- Logistics and planning skills
- Proficient communicator who can present well and influence others when appropriate
- Able to understand workplace-based problems and analyse them to develop appropriate solutions
- Superior judgement in all areas of the business that you interact with
- Able to make decisions independently of others’ involvement
- Capable planner able to organize the resources at your disposal to achieve optimal results
- Able to manage time and workload effectively
- Advanced computer skills including Microsoft Office Suite of products

- Improve fleet performance and control cost
- Acknowledge afterhours requests for addressing the following day
- Make recommendations to fleet replacement decisions for vehicles and equipment with pricing
- Identify and pursue opportunities to optimize fleet and equipment effectiveness and efficiency
- Conduct site visits to check general condition and cleanliness of fleet and rental equipment
- Request PO’s as required with Sage Intacct application
- Develop and execute the fleet maintenance plan
- Supervise remote equipment operations including a variety of scheduled equipment activities, preventative and routine maintenance
- Supervise fleet operations related to a variety of preventative, routine and emergency unscheduled maintenance activities
- Ensure fleet and equipment are inspected, tested, and in “working order” before returning to in-use
- Work with vendors to obtain optimal pricing on repair materials and services
- Supervise all aspects of commercial vehicle inspections and registration
- Provide technical support and consultation to team members on proper use, care and preventative maintenance for all vehicles and equipment
- Keep the fleet CVOR compliant
- Assign and allocate consumable repair materials to respective work orders as required
- Develop, manage and coordinate fleet maintenance programs
- Coordinate vehicles and equipment PM maintenance and repair, scheduling of mechanic daily tasks
- Manage Fleetio - asset and maintenance information
