You are the face of iCOMAT Gloucester. You set the tone the moment a visitor walks through the door, host them properly, walk them through to meetings and facility tours, and keep the front of house in order all day. When Gloucester needs admin cover, you step in. Full time, Monday to Friday, based on-site at our Gloucester facility. Part time/school hours working requests may be considered for the suitable candidate.
What will you be doing?
- Front Desk & Visitor Management
- Act as the first point of contact for all visitors, customers, and suppliers
- Greet visitors professionally and manage visitor sign-in, induction, and site access controls
- Issue visitor passes and ensure compliance with site security and safety procedures
- Notify relevant staff of visitor arrivals and coordinate meeting logistics
- Maintain visitor logs for audit and traceability purposes
- Communication & Call Handling
- Manage incoming telephone calls, directing enquiries to the appropriate departments
- Handle incoming emails and general enquiries in a timely and professional manner
- Take accurate messages and ensure prompt follow-up
- Maintain a high standard of communication reflective of a customer-focused business environment
- Administrative Support
- Provide general administrative support to Operations, Quality, and Management teams
- Document control support (printing, scanning, filing)
- Data entry and record maintenance
- Preparation of reports and correspondence
- Office & Facilities Coordination
- Maintain reception and office areas to a clean, organised, and professional standard
- Manage meeting rooms, including booking, setup, and coordination of refreshments
- Order and control office supplies and consumables
- Coordinate with external service providers (e.g. cleaning, maintenance, couriers)
- Security & Compliance
- Ensure all visitors comply with health, safety, and site security requirements
- Support compliance with company procedures, confidentiality, and data protection policies
- Assist with maintaining records required for internal and external audits
- Escalate any security or safety concerns promptly
- Travel Arrangements
- Support travel arrangements for Senior Management team members within the business
- Ensure compliance to travel policy and expense guidelines
- Mail & Logistics Support
- Handle incoming and outgoing post, parcels, and deliveries
- Coordinate courier services and ensure correct documentation of shipments
- Support basic logistics coordination where required
- Continuous Improvement
- Identify opportunities to improve administrative efficiency and front-of-house processes
- Support implementation of standardised procedures and visual management systems
