About The Role

The Timetable Coordinator will take ownership of the London timetable, ensuring it is planned, managed, and optimised to meet operational and commercial objectives. The role will also provide oversight of timetabling across all campuses, ensuring consistency, efficiency, and alignment with institutional strategy. Alongside this, the role will support data analysis, reporting, and modelling to drive resource utilisation, operational efficiency, and strategic planning.

Key Responsibilities

  • Timetabling Ownership: Own the end to end timetabling process for the London campus, including planning, build, maintenance, and in year adjustments.
  • Timetable quality, accuracy, and delivery against academic and operational requirements.
  • Work with Education and campus teams to resolve clashes and proactively plan for closure days (i.e. bank holidays), optimise room usage, and ensure an efficient and deliverable timetable.
  • Act as the primary point of contact for all London timetabling activity.
  • Institutional Timetabling Oversight: Provide oversight of timetabling across all campuses, ensuring alignment with agreed standards, processes, and planning assumptions.
  • Support and challenge campus level timetable delivery to improve consistency, utilisation, and efficiency.
  • Identify cross campus optimisation opportunities and drive improvements in timetabling approach and performance.
  • Data Analysis and Reporting: Perform analysis of enrolment, space utilisation, and timetable performance data to support planning and optimisation decisions.
  • Develop and maintain dashboards and reports to monitor timetable effectiveness, space utilisation, and key operational KPIs.
  • Support forecasting of student numbers and demand to inform timetable planning and resource allocation.
  • Operational Modelling and Optimisation: Build and maintain models that support timetable planning, space utilisation, and staffing requirements.
  • Identify inefficiencies in timetable structure and resource allocation, and propose practical improvements.
  • Use data to improve timetable design, room utilisation, and delivery efficiency.
  • Collaborate with Operation and Education teams to align ICMP and SAE timetabling approach.
  • Maintain flexibility and insight into allowing digital learning embeddedness into the timetable to ensure Education teams are fully supported with the move to more online delivery.
  • Collaboration and Strategic Support: Work closely with campus academic and operations teams to ensure timetable delivery is aligned with curriculum and resource requirements.
  • Provide clear, data backed recommendations to improve timetable performance and operational delivery.
  • Support senior stakeholders with insight on timetable performance and optimisation opportunities.
  • System Integration and Process Improvement: Support the development and improvement of timetabling systems, tools, and processes.
  • Drive improvements in timetable data quality, system usage, and reporting capability.
  • Work with IT to enhance systems that support timetable planning and delivery.
