Role: Campus Administration Officer
Location: London Based
Salary: Grade 23 - up to £27,882 pro-rata per annum (dependent on experience)
Contract: Full Time (37 hours) Permanent
About The Role
We are looking for an organised and proactive Campus Administration Officer to join our campus team and play a key role in supporting the smooth day-to-day operations of student and academic administration. This role acts as a central point of contact for students, academic staff, and central teams, providing high-quality administrative support across enrolment, student records, academic processes, and general campus operations. You will work closely with the Campus Manager, Academic Manager, and Student Services teams to ensure an excellent administrative service that supports both the student experience and academic delivery. This is a great opportunity for someone who enjoys working in a fast-paced environment, managing multiple priorities, and contributing to a positive campus experience for students and staff.
Key Responsibilities
- Student Records Management
- Process student transfers, intermissions and withdrawals for current students in collaboration with academic leads.
- Responsible for monitoring attendance, including for international students, ensuring accurate records and compliance with visa regulations.
- Collect and verify visa exit evidence from international students to ensure compliance with immigration regulations.
- Create and distribute letters of enrolment for council tax purposes and various other methods of verification, ensuring timely and accurate documentation.
- Ensuring student record database is accurate - Including all changes on person details.
- Enrolment and Registration
- Assist with enrolment activities from initial registration through to census, including liaising with students, Admissions, and Registry teams.
- Prepare and submit validating partner registrations to head of academic Quality to meet regulatory and institutional requirements.
- Process Student Oyster Card evidence applications for eligible students to facilitate access to travel benefits.
- Data Management and Reporting
- Perform campus data sign-off processes, ensuring accurate records and alignment with institutional and regulatory standards.
- Enter and maintain timetabling data, Responsibility for timetabling schedules and ensuring they are accurate and up-to-date on student portals and internal systems.
- Prepare reports and materials for committees and assessment boards, including minute-taking and tracking action items.
- Academic Support and Assessment Outcomes
- Coordinate pre-boards and post-assessment board communications, ensuring that all necessary administrative tasks are completed, and students are informed.
- Contact students regarding assessments and reassessment deadline, helping to ensure timely submission and academic progress to students.
- Distribute certificates to graduates following successful completion of their programmes, ensuring the smooth operation of the graduation process.
- Academic Quality and Compliance
- Administer student surveys and collate data to support continuous improvement of student services and campus operations.
