The Document Controller will play a key role in supporting the engineering and projects function at ICL, by ensuring that both our existing and newly created documentation is being appropriately stored, controlled, distributed and managed. This role will support engineering, projects, inspection, process safety and will help us make sure that our new and historic documentation is up to date and easily accessible.
Responsibilities
- Receive, record, distribute and store engineering documentation being received from 3rd party suppliers.
- Work alongside project managers to distribute project documentation (e.g. drawings, RFIs and TQs) to the engineering team and help manage the receipt of comments on drawings, before sending back to 3rd party suppliers.
- Set up and maintain document registers for projects and engineering areas.
- Work with the Group Engineering Manager and other site personnel to understand the status of historic documentation and improve the filing, management and accessibility of information.
- Issue requested documents to external suppliers and maintain records of transmitted files.
- Support the engineering teams in ensuring that new documents have appropriate drawing numbers and titles.
- Support the engineering and maintenance teams in ensuring that new equipment is given appropriate tag numbers from the CMMS system.
- Support other parts of the team in the management of critical documentation (e.g. management of change documentation).
- Ensure a consistent approach to document control across the ICL Group.
- Update processes and procedures where required.
Qualifications
- We are looking for someone who is motivated, up for a challenge and has a strong work ethic to join our Engineering team at our West Thurrock site.
- Highly organised and capable of managing competing priorities.
- Excellent communication skills.
- Strong administration skills and attention to detail when working with large amounts of data.
- High standards of quality and compliance.
- Ability to work in a pressurised environment, and to deal with situations calmly.
- Proven experience in a document control/management role in Chemical, Oil & Gas or a similar industry.
- Strong knowledge of document management processes as part of capital project works.
- Knowledge of typical document types in an engineering organisation (e.g. P&IDs, piping isometrics, cable drawings).
- Experience delivering document control support for multimillion £GBP capital projects.
- Able to collaborate with the Group Engineering Manager to develop a suitable document management system for the Group.
- Proficient in the use of Microsoft office products.
- Familiarity with CAD packages such as AutoCAD would be beneficial.
- Experience working on large capital projects.
