Job Title: Document Controller – Data Centre Industry (End User)
About the Role
We are seeking a Document Controller to join our team in the data centre industry, supporting an end-user organization. The role involves managing, organizing, and controlling project documentation to ensure compliance, accuracy, and accessibility for key stakeholders. This is a critical position within a highly regulated and fast-paced environment, ensuring smooth project execution and adherence to industry standards.
Key Responsibilities
- Maintain, update, and distribute project documentation (drawings, reports, procedures, specifications, and contracts).
- Implement and manage document control processes, ensuring compliance with ISO, GDPR, and industry-specific standards.
- Use Electronic Document Management Systems (EDMS) to store, retrieve, and track revisions of critical documents.
- Ensure version control and document traceability, preventing the use of outdated or unauthorized materials.
- Act as the central point of contact for documentation between internal teams, contractors, and external stakeholders.
- Liaise with project managers, engineers, and compliance teams to facilitate smooth document flow.
- Coordinate document approvals, signatures, and submission deadlines.
- Ensure all documentation aligns with health & safety regulations, legal requirements, and data centre operational standards.
- Conduct regular audits and checks to verify document integrity and completeness.
- Maintain security and confidentiality of sensitive project documents.
- Generate regular reports on document status, approvals, and compliance for senior management.
- Assist in project closeout documentation, ensuring all records are archived correctly.
Skills & Qualifications
Proven experience as a Document Controller in the data centre, construction, or engineering industries.
Proficiency in EDMS platforms (Aconex, Viewpoint, SharePoint, Procore, or similar).
Strong knowledge of ISO 9001 standards, GDPR compliance, and document control best practices.
Excellent organizational and communication skills with high attention to detail.
Ability to work effectively under pressure in a fast-paced, high-security environment.
Experience coordinating with contractors, vendors, and regulatory bodies is desirable.
