Ice is an award-winning Brand Experience Agency, specialising in Events, Environments, 3D Design & Build and Brand ID. Our offices are located in a Grade II listed building in the centre of Windsor where we also have an Art Gallery. We are looking for an experienced office manager / finance assistant to join our busy team. Office based, you will report to the Head of Finance. The Office Manager/Finance Assistant is the backbone of our office operations and responsible for managing various administrative tasks while ensuring the smooth functioning of the office environment and the Art Gallery.
Responsibilities:
- Office Management: Maintain a well-organised and efficient office environment.
- Coordinate office supplies, equipment, and facilities maintenance.
- Manage office schedules and appointments.
- Ensure a welcoming and professional reception for visitors to our offices and the Art Gallery.
- Administrative/Project Support: Handle phone calls, emails, and correspondence efficiently.
- Maintain and update company records, databases, and filing systems.
- Collaborate with our event team on administrative tasks as needed.
- Sourcing for the events team, e.g. booking catering, finding hotel availability, transport, flights etc.
- Liase with external suppliers and service providers.
- Purchasing event collateral.
- Assisting with collecting, collating, and sending out collateral for events.
- Finance: Assisting the Head of Finance.
- Liaising with external suppliers and service providers.
- Processing purchase orders and purchase invoices.
- Creating and processing sales invoices.
- Processing all CC and expense receipts.
- Creating VAT reports for CC and expense receipts.
Qualifications: A proven history in office management and a minimum of 3 years finance experience with Sageline 50 is essential.
