Office Administrator

This is a varied role suited to someone who enjoys juggling different responsibilities, from logging and tracking service calls to supporting basic finance admin (with a third-party accountant handling the bookkeeping and accounts). You'll help clear backlogs, keep records accurate, and generally be the glue that keeps the office ticking as the business scales.

Key Responsibilities

  • Log, track and update service call requests, ensuring jobs are recorded, assigned and followed through to completion
  • Liaise with customers and engineers/suppliers to keep service jobs moving and communicate updates
  • Process supplier invoices and match them to purchase orders, passing through to the external accountant as needed
  • Reconcile supplier statements and investigate missing invoices, credit notes and discrepancies
  • Process and reconcile employee expenses and company card transactions
  • Chase outstanding customer debts and maintain up-to-date debtor records, escalating overdue accounts as needed
  • Maintain accurate records, supporting documents and shared inboxes across finance and service functions
  • Assist with customer invoicing
  • Chase employees and suppliers for outstanding information and maintain action logs
  • Provide general office and administrative support to the wider team
  • Help document processes and procedures as the business grows

Person Specification

You will have:

  • Previous experience in an Office Administrator, Service Coordinator, Finance Administrator or similar all-round admin role
  • Comfort managing multiple types of task: service logging, customer contact, debt chasing, and basic finance admin
  • Excellent organisational skills and attention to detail
  • Confidence having direct, sometimes difficult, conversations with customers about outstanding payments
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication skills and confidence dealing with colleagues, customers and suppliers
  • A proactive approach and willingness to take ownership of responsibilities
  • Good Microsoft Excel and general IT/systems skills

Desirable

  • Experience using Xero or a similar accounting package
  • Previous experience in a service-based or field-engineer-supported business
  • Experience with a CRM or job-logging/ticketing system
  • Hospitality experience, so you understand the environments our customers work in
