Role Overview

As our Referral Co‑ordinator, your role will involve managing administrative tasks that keep our office running smoothly in line with HSCP related services and contracts. This position requires a proactive, detail‑oriented individual with excellent communication skills and a friendly approach.

Key Responsibilities

  • Provide comprehensive administrative support to HSCP related services and contracts, managing the onboarding of new referrals including all paperwork and communication with both the Customer/Client to ensure compliance with Local Council.
  • Act as a key point of contact for internal and external stakeholders, including local authorities.
  • Maintain accurate records, databases and tracking spreadsheets.
  • Manage incoming calls, emails and general enquiries with professionalism and efficiency.
  • Coordinate and schedule appointments, meetings and staff rotas as needed.
  • Maintain accurate records, databases and filing systems ensuring confidentiality and compliance.
  • Assist with basic bookkeeping and invoice processing tasks.
  • Prepare and distribute internal communications and reports.
  • Process referrals and provide service user information to Glasgow Council.
  • Support audits, inspections and information requests as required.
  • Ensure the office environment is welcoming and organized for staff and visitors.

Qualifications & Skills

  • Proven experience in office administration or a similar role, preferably within HSCP, or Catering & Hospitality sectors.
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills in English.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to manage competing priorities and work to deadlines.
  • Ability to work independently and as part of a team during weekend hours.
  • Attention to detail and problem‑solving skills.
  • Friendly, approachable, and professional demeanor.
  • Basic understanding of bookkeeping and payroll procedures is advantageous.
  • Experience working with HSCP’s or local authority contracts.
