Join IC24 and help create a welcoming, safe and efficient workplace. We are looking for a proactive and organised Facilities Assistant to join our Estates & Facilities team. This is an exciting opportunity for someone who enjoys a varied role combining reception, administration and facilities support responsibilities.

About the role:

As the first point of contact for colleagues, visitors and contractors, you will play a vital role in ensuring the smooth day-to-day operation. You will provide professional front-of-house support while assisting with facilities administration, site coordination and workplace services.

Key responsibilities include:

  • Direct support to the Facilities Manager
  • Support the Head of Estates and Facilities with the mobilisation and operational setup of services on a new start up project.
  • Update maintenance or CAFM systems with completed tasks (Top Desk Reporting Portal).
  • Support tasks such as raising purchase orders and managing suppliers.
  • Maintain accurate records, logs, and compliance documentation.
  • Monitor and report progress against mobilisation objectives, escalating risks or delays to the Head of Estates and Facilities as required.
  • Help ensure a consistent Estates and Facilities service model is embedded across the new site, and existing organisational locations.

We're looking for an individual who is organised, professional and able to manage a busy and varied workload.

You will have:

  • Previous administration experience
  • Excellent communication and customer service skills
  • Experience using IT systems, spreadsheets and reporting tools
  • Strong organisational skills and attention to detail
  • The ability to work independently and as part of a team
  • A proactive approach and the ability to prioritise competing tasks

Desirable:

  • Experience in a reception or facilities support role.
  • Administration experience within healthcare, estates or facilities environments.
  • MS Office qualifications, NVQ Level 2 Administration (or equivalent).
  • Full driving licence.
