We're looking for an SEO Operations Manager to join iakoe. We're an agency that specialises in designing, building and optimising Shopify stores for ambitious eCommerce brands. We work with exciting, design-led brands across the US, helping them grow through a combination of exceptional digital experiences and performance-driven SEO. We're a tight-knit, remote team that doesn't take itself too seriously. We move quickly, solve problems together, occasionally fight fires, and do work we're genuinely proud of.

We're looking for someone who loves bringing order to complexity. Someone who gets satisfaction from creating structure, improving processes, holding teams accountable, and ensuring both clients and internal teams always know what's happening next.

Purpose of the Role

As SEO Operations Manager, your role is to ensure every SEO account runs smoothly and efficiently. You'll work closely with the Head of SEO to create visibility across all active projects, maintain operational excellence, and ensure nothing falls through the cracks. While the Head of SEO owns SEO strategy and client relationships, you'll own delivery operations, project coordination, documentation, and communication workflows. You'll become the operational backbone of our SEO department.

What Will You Be Doing?

  • Client Communication and Coordination
    • Prepare meeting agendas and circulate them to clients ahead of scheduled calls
    • Compile meeting minutes and action points from client calls using notes
    • Edit, format and circulate clear post-call summaries to clients within 1 hour of meetings
    • Prepare and manage client roadmaps, ensuring they remain accurate and up to date
    • Every Friday, prepare and schedule client work-in-progress (WIP) updates to be delivered to clients on Monday morning at 9am ET
  • Delivery and Project Management
    • Schedule tasks and action items within Teamwork, ensuring clear ownership and deadlines
    • Maintain visibility across all active SEO accounts and delivery workstreams
    • Ensure all client deliverables are scheduled, tracked and completed on time
    • Monitor progress across accounts and proactively identify delivery risks, blockers or delays
    • Escalate issues before they impact client timelines or expectations
  • Team Accountability
    • Follow up with team members to ensure tasks are updated and completed on schedule
    • Ensure Teamwork accurately reflects the status of all active work
    • Create visibility into project progress for leadership
    • Support the Head of SEO by maintaining accountability across the delivery team
  • Documentation and Operational Excellence
    • Ensure all working files are accurately stored and organised within client Google Drive folders
    • Maintain consistency between Google Drive folders and Teamwork project structures
    • Own documentation standards across all client accounts
    • Support process improvement by identifying gaps, inefficiencies or inconsistencies in workflows
    • Help build, maintain and improve internal SOPs and operational processes
    • Identify opportunities to automate repetitive tasks and improve efficiency
  • Internal Coordination
    • Meet weekly with the Head of SEO to gather updates across all client accounts
    • Ensure key updates, risks and priorities are communicated clearly across the business
    • Support leadership with reporting and operational visibility across the SEO department

Essential Requirements

  • 4+ years experience working within an SEO agency environment
  • Experience in a project management, operations, delivery or client services role
  • Strong written communication skills with the ability to summarise complex information clearly and concisely
  • Excellent organisational and project management skills
  • Exceptional attention to detail
  • Strong sense of ownership and accountability
  • Experience managing multiple projects, deadlines and stakeholders simultaneously
  • Ability to proactively identify and solve operational challenges
  • Comfortable holding team members accountable and following up on outstanding actions
  • Experience using project management platforms such as Teamwork, Asana, ClickUp or Monday.com
  • Comfortable working in a fully remote environment
  • Understanding of SEO fundamentals and common SEO workflows
  • Familiarity with Shopify

Success in This Role

  • After your first 90 days:
  • All client roadmaps are accurate, maintained and regularly updated
  • Client meeting notes and action points are consistently delivered within 24 hours
  • Teamwork accurately reflects the status of all active client work
  • Weekly client communications are delivered on time without fail
  • Delivery risks are identified and escalated early
  • Leadership has clear visibility across every SEO account
  • Documentation standards are maintained across all clients
  • Internal processes are becoming more efficient and scalable

Eastern Time Zone (9am - 5pm).
