The Primary Care team is looking to recruit an Administrative Officer to join its central business support team, providing administrative support to the wider Primary Care team. Join our team in a pivotal role where no two days are the same. As a highly organised and proactive administrator you will work independently to deliver a professional, efficient, and confidential service that underpins the smooth running of the department.

Acting as the first point of contact, you will warmly welcome and communicate with a wide range of people—both internal and external—via phone, email and face‑to‑face, ensuring every enquiry is handled with care and professionalism. You will use your judgement to resolve routine queries and recognise when to elevate more complex matters to colleagues. This role requires a flexible and proactive approach to meet the needs of the service and provide high‑quality administrative support to the Primary Care Team and wider service.

Responsibilities

  • Organise and support routine and ad‑hoc meetings, take formal minutes and action notes, and manage enquiries received via email, telephone and face‑to‑face contact.
  • Process Primary Care contractor claims and invoices within agreed timescales and manage stock ordering.
  • Summarise patient notes and provide accurate data entry into clinical systems and spreadsheets.
  • Support report production, extract data and assist in the preparation of clinical and operational reports.
  • Organise and support training events and general office duties such as filing, photocopying and record management.
  • Supervise staff where appropriate and contribute to a supportive team environment.

Qualifications

  • Excellent organisational and time‑management skills.
  • Strong communication and interpersonal skills, with the ability to handle enquiries with professionalism and confidentiality.
  • Proficiency in office software (Word, Excel, Outlook) and experience with clinical data entry.
  • Flexibility, attention to detail and a commitment to high standards of service delivery.
  • English fluency; knowledge of Welsh is desirable.
