Key Responsibilities:

  • Work alongside the operations team to deliver the event plan from pre-show planning to onsite delivery.
  • Assist the Operations Manager in updating and maintaining the exhibition floorplan, preparing and sending accurate exhibitor lists to contractors, maintaining the event manual and show documents.
  • Be the main point of contact for exhibitors and some contractors throughout the event cycle, providing high levels of customer service at all times.
  • Organise accommodation requirements for the show team.
  • Actively listen and identify customer needs and deliver excellent customer service at every interaction.
  • Have an appreciation of the show budgeting system.
  • Understand and implement the Health & Safety systems both around the office and onsite.
  • Work with colleagues to achieve best practice in terms of operational planning and Customer Service.
  • Be proactive in exchanging information with other departments and provide assistance where requested.
  • Ensure all Hyve offices onsite are fully equipped with furniture, IT and other items as per team requirements.
  • Arrange logistics of items pre show and onsite, ensuring items delivered to the correct place at the right time.
  • Manage the gofer schedule and give them detailed briefings.
  • Ensure the smooth running and management of the onsite organiser’s office, and fully brief the assisting staff.
  • Other ad-hoc duties as required to organise the show, alongside the wider operations team.

  • Outstanding attention to detail and accuracy, excellent administrative skills, a confident communicator, with the ability to prioritise.
  • Excellent time management – hard working with a sense of urgency.
  • A passion for event management and customer service.

  • Computer literate, including Excel, Word and Outlook.
