Overview

We are looking for an experienced event logistics manager to join the HLTH team to own and deliver key elements of the onsite experience of the HLTH events, in both Europe and the US.

HLTH Europe, Europe's number one healthcare innovation event.

This role is based in the UK with travel into our London office 3 days a week, international travel is required as is flexibility regarding working hours.

Responsibilities

Responsible for the onsite delivery of all partner programming and other specialty programming at each HLTH event.

From briefing suppliers, venue and contractor liaison, through to onsite scheduling, set up and open day management.

  • Managing the AV, signage, venue services and delegate F&B.
  • Owning this area of the event budget, forecasting and updating as required.
  • Updating and maintaining relevant internal documents and records; working closely with the content team.
  • Onboarding all partner programme personnel and managing the relationship with their logistics/operations team.
  • Working with venue to manage relevant service orders and schedules.
  • Vendor & supplier coordination – liaising with suppliers (venue, AV, contractors, DMC), tracking orders, deadlines, deliverables.
  • Ensuring all services are delivered as agreed.
  • On‑site event delivery support: build‑up, live event operations, breakdown.
  • Troubleshooting operational issues quickly and professionally.
  • Maintenance of accurate records, trackers, and event documentation.
  • Support budget tracking, forecasting, invoice processing.
  • Assist with post‑event feedback collection and reporting.
  • CRM for all event areas: Salesforce.
  • Workspace: Google (Gmail, Docs, Sheets, Slides).
  • Events: Map Your Show, Swoogo, Swapcard, Docusign.
  • Internal communication/project management: Asana, Slack, Zoom.

Qualifications

  • 3+ years' experience working in exhibitions and/or conferences.
  • Experience in tendering for suppliers and services, obtaining quotes, negotiating costs and creating Service Level Agreements.
  • Experience in budget management, consistency with keeping to budget and confidence in reporting and reconciling.
  • Experience of working with AV suppliers in the delivery of high‑end content production.
  • Experience managing temporary staffing teams, from scheduling and briefing through to onsite management.
  • Health and safety awareness, ideally with IOSH certification or equivalent.
  • Self‑driven, ability to maintain perspective and adjust task specifics where necessary to meet the overall event objective.
  • Customer‑first mindset with a proactive, problem‑solving approach.
  • Ability to manage multiple tasks and work to tight deadlines.
  • Enthusiastic team player, open to receiving and sharing feedback to make improvements and implement best practice.
  • Relentlessly client focused with first‑class communication skills and ability to build and maintain relationships with internal and external stakeholders.
  • Experience working in Europe is beneficial.
