We are recruiting an organised and proactive Administration Support professional to join our Import Centre team for a 1‑year Fixed Term Contract. The role ensures the smooth and efficient running of the Import Centre, which handles over 95,000 vehicles each year.

Responsibilities

  • Support administration processes for the handling of 95,000+ vehicles per year.
  • Provide an administration service to other departments concerning the services conducted at the Import Centre.
  • Collaborate with the national delivery contractor to ensure the timely distribution of vehicles to the dealer network.
  • Ensure accurate and up‑to‑date data entry in the SAP system for all operations at the Import Centre.
  • Maintain effective relationships with internal and external customers, ensuring clear communication at all times.
  • Handle incoming calls at the Import Centre, providing assistance and directing inquiries to the appropriate departments.
  • Maintain an accurate and organised filing system, regularly performing housekeeping tasks to ensure paperwork is properly filed, boxed, labelled and stored.
  • Liaise with head office, dealers and contractors on general inquiries and vehicle status updates.
  • Book Ship and Czech Arrivals onto SAP and complete all necessary customs paperwork and damage notifications.
  • Coordinate with contractors for the fitting of Optional Extras and ensure relevant systems are updated.
  • Produce Load Sheets and Gate Passes via the computerised system, ensuring paperwork is correct for vehicle movement and security checks.
  • Collaborate with head office and workshop teams to process Company, Fleet and ECS vehicles, updating SAP and Excel records when issuing and completing vehicles.
  • Register and tax Company & Fleet vehicles using the Hi‑Way system, ensuring logs and forms are correctly updated.
  • Provide Stock Maintenance sheets to Logistics and update SAP with completed maintenance data and fault log reports.
  • Manage the administration of vehicles undergoing repair processes, updating logs with cost details and chasing progress through the rectification process.
  • Re‑claim repair costs from insurers, third parties and warranty systems.
  • Handle invoicing in and out to third parties.
  • Prepare month‑end reports and process charges.
  • Support all aspects of the Used Car process, updating daily reports and sending out V5 forms as required.
  • Carry out other duties as requested by the Tilbury management team and support Genesis when required.

Qualifications

  • Strong customer service orientation with a professional telephone manner.
  • Proficient in PC operations, including Excel, Word and Outlook.
  • Excellent organisational skills with the ability to maintain systems and keep accurate records.
  • Ability to work under pressure while maintaining high accuracy levels.
  • Strong communication skills, with the ability to liaise effectively with people at all levels.
  • Ability to prioritise workloads and work on initiative.
  • Flexible team player, willing to cover other duties when necessary.
  • Strong verbal and written communication skills.
  • Capable of working to deadlines while maintaining attention to detail.
