Location: Irvine, Scotland (European Divisional Support Centre – HY EMEA UK Irvine, KA11 5DP)

Hours & Type: Full time, Permanent. Working hours 08:30–17:00 Monday–Thursday, 08:30–16:00 Friday.

Key Responsibilities:

  • Meet and greet all arrivals at EDSC Irvine in a professional manner.
  • Ensure access to the EDSC is for authorised people only, adhering to the door access entry system.
  • Ensure the visitors book is completed for all visitors and for employees requiring temporary door access badges.
  • Operate the telephone switchboard.
  • Log deliveries, ensuring tracking for all arriving packages via the DHL online processing system (My DHL).
  • Daily collate and process incoming and outgoing mail.
  • Order Lyreco office supplies for mailroom, stationery store and individual requests.
  • Book taxi transfers and accommodation as required.
  • Assist with expenses and new Barclaycard administration.
  • Manage EDSC Social Committee – facilitate meetings and plan social activities.
  • Provide general administrative support as required.

Finance Support:

  • Support travel and expenses administration activities: corporate travel cards, purchasing cards.
  • Assist with travel queries and escalation.
  • Assist with expenses financial month-end.
  • Input accurate monthly accrual journal entries.
  • Action vendor master updates to SAP purchase ledger and yearly duplicate reviews.
  • Support other ad-hoc activities as identified.

Business Management Site Coordinator:

  • Setup and attend all EDSC BMS site meetings (three per year – Feb, May & Nov).
  • Control changes to all DCN documents and records, checking integrity, version, revision, expiry, cited/citing documents and approvals in FileNet/MIDI and the Master Index.
  • Monitor the CAPA database, ensuring all actions addressed timely.
  • Develop the EDSC Irvine site audit schedule for onsite BMS audits.
  • Undertake auditor training.
  • Mentor on-site auditors throughout the business year.
  • Lead, co-ordinate, host internal and external DQS audits on behalf of the EDSC site and in conjunction with the BMS site manager.

Ideal Candidate: Previous experience in a similar position, demonstrating ability to handle telephone and personal enquiries with excellent organisation and communication skills, working with minimal supervision, and planning own workload.
