RESPONSIBILITIES
- Manage postgraduate (PG) course enrolment configurations:
- Configure, maintain, and continuously enhance backend enrolment rules, including prerequisites, co-requisites, mutual exclusivities, and other complex rule sets.
- Implement and manage special course requirements such as programme-level restrictions, student group eligibility, minimum grade thresholds, and multi-conditional enrolment logic to ensure accurate and compliant enrolment outcomes.
- Administer backend configurations that support the first-come-first-served PG course registration process, including reserved quotas and capped capacities.
- Review, analyse, and recommend system enhancements to better support the complex enrolment of open and shared courses across multiple schools and programmes.
- Design, configure, and maintain degree audit rules to enable accurate, self-service tracking of academic progress toward degree completion for postgraduate students.
- Ensure audit configurations remain aligned with curriculum and policy requirements.
- Analyse postgraduate curriculum changes and assess their impact on different student cohorts.
- Provide expert advice and hands-on support to programme managers to translate academic requirements into precise, effective system configurations.
- Provide comprehensive functional and administrative support for the university student administration system by collaborating with team members, system users and IT partners to analyse requirements, implement system enhancements, resolve issues, and support projects.
- Involves first-level support, quality assurance of system changes, development of operational queries, management and tracking of change requests, and functional support for integrated systems.
- Maintain support communications and websites, deliver training and self-help resources, and ensure the accuracy, completeness, and ongoing improvement of design books and user guides as well as overseeing data and document housekeeping activities annually to ensure compliance with data governance and retention policies.
- Collaborate with internal units and key stakeholders to design, enhance, and maintain executive-level postgraduate student analytics and statistical insights using Business Intelligence tools.
- This includes producing high-quality reports and dashboards that support trend analysis, data-driven decision-making, effective academic record oversight, and early identification of at-risk students to enable timely interventions.
- Be involved in managing and maintaining backend variable data that underpins the analytics, validating and ensuring the accuracy and integrity of reports and statistics, and providing functional support and guidance to schools and departments to promote consistent and effective use of ISIS Analytics.
- Contribute to the ongoing implementation, optimisation, and support of the GRMS project, which tracks research students' progress toward degree completion amongst other administrative activities such as annual leave application and candidature extension.
- Manage post-go-live backend configurations, including candidature consumption calculations, research topic records, supervisor assignments, and research committee structures.
- Undertake other responsibilities as assigned by the supervisor and provide operational support to departmental activities, including matriculation, commencement, and examination invigilation.
QUALIFICATIONS
- Bachelor's degree preferably in Information Systems Management or related discipline.
- 3 to 5 years of experience supporting student academic systems in a higher education or similarly complex, regulated environment.
- Hands-on experience in configuring and supporting enrolment, degree audit, or research management systems. Experience in using the PeopleSoft Campus Solutions is highly desirable.
- Ability to work with business stakeholders to translate curriculum, policy, and regulatory requirements into effective and sustainable system solutions.
- Experience developing student analytics, reporting, and dashboards to support decision-making, regulatory compliance, and early intervention initiatives.
- Working knowledge of SQL and proficiency with end-user query tools, particularly PeopleSoft Query Manager.
- Good communication skills, with the ability to clearly explain technical concepts to non-technical stakeholders.
- Committed to delivering high-quality customer service.
- Strong analytical, problem solving, and prioritisation skills with the ability to manage competing demands in a fast-paced environment.
- High attention to detail, with the ability to work effectively both independently and collaboratively.
