Hybrid is a global, full-service marketing agency specialising in the education sector. We partner with universities across the UK, US and internationally to support student recruitment and growth through insight-led marketing.
We are looking for a Bid Coordinator to join our Bids & Compliance team, supporting the delivery of high-quality, compliant bid submissions across multiple global markets. This is a coordination and administration-led role, focused on systems, data accuracy, deadlines and stakeholder logistics. The role plays a critical part in ensuring bids are well-organised, compliant and progressing smoothly, enabling Bid Writers and senior stakeholders to focus on strategy and content.
The Role:
Reporting into the Bid Manager / Director of Bids & Compliance, the Bid Coordinator will support the bid function through opportunity sourcing, bid administration, compliance support and process coordination. The role involves working across multiple live bids at any one time and requires strong organisation, attention to detail and confidence working to deadlines. With strong performance, progression to a Bid Manager or Bid Writer role is achievable within 12 months, with increased ownership of bid cycles and stakeholder management.
Key Responsibilities:
- Source new bid and tender opportunities via portals and external platforms
- Log and track opportunities accurately within internal systems
- Maintain bid pipelines, trackers, dashboards and shared drives
- Coordinate bid timelines, milestones and submission deadlines
- Manage diaries for bid reviews, pitch meetings and submission activity
- Distribute bid instructions, submission guidance and documentation
- Organise folders, version control and supporting bid materials
- Maintain a central response and content bank
- Ensure system access, credentials and portal details are kept up to date
- Produce regular progress updates on live bids and pipeline status
- Support compliance checks and final submission logistics
Essential Experience:
- Experience in bid coordination, bid administration, or similar roles.
- Experience in operations, project coordination, account coordination, or administrative roles within deadline-driven environments.
- Strong organisational skills with high attention to detail.
