The Crewing Coordinator is responsible for ensuring that the designated area is staffed to the correct complement with the right people, ensuring compliance against regulations whilst maintaining service and costs. The role works closely with colleagues in the Crewing team, Fleet and Shore Shipboard Management Teams as well as our worldwide partners accordingly to ensure all parameters are met.
Responsibilities:
- Ensure all rotation plans are developed in line with the Crew Repatriation Schedule.
- Deliver all rotations plans in the main HR Crewing System 18 months ahead.
- Responsible for ensuring only fully qualified and compliant crew are planned to join.
- Develop contingency plans to support planned and unplanned events that can impact manning onboard.
- Provide care and attention to any crew members who are disembarked for unplanned reasons to ensure their needs are met.
- Deliver all requirements for new build / dry docks alongside the logistics coordinator.
- Map, coordinate, and implement courses and training in collaboration with suppliers, ships and operations on shore.
- Act as the primary contact for all crewing queries.
- Work closely with all crewing agencies, talent acquisition, onboarding team to ensure the establishment is regularly maintained and sufficient to meet the demands of the business taking action to mitigate any risks as appropriate.
- Supports and participates in the recruitment process worldwide.
- Co-ordinate with crewing agencies and makes sure all manning activities outsourced to crewing partners are timely and accurately performed.
- Maintain an up to date and working knowledge of immigration and other maritime rules and regulations.
- Ensure the HR crewing system data is accurate and up to date.
- Continuous review and development of the rotations experience ensuring consistency across the crewing function, identifying opportunities for service improvement and cost reduction.
- Demonstrates an effective level of influence, impact and voice for the level of role.
- Challenges status quo makes difficult decisions considering the impact and implications of the decision.
- Support the People and Culture team in delivering the companies Employee Value Proposition.
- Work alongside fleet stakeholders building a trusted service.
- Take part on the on-call out of hours emergency phone a rotation basis to ensure that the fleet is supported 24/7 365 days of the year.
- Other duties as assigned.

Requirements:
- Fluency in English is required.
- Bachelor’s degree in relevant areas.
- Experience of manpower / scheduling planning.
- At least 3 years in the maritime / cruise / expedition industries.
- Experience working in a dynamic high-volume operation.
- Experience managing budgets.
- Tech-forward and adaptable, with a proven ability to quickly learn new systems.
- Proficiency in MS Office applications including Outlook, PowerPoint, Word, and Excel.
- Experience working in a multi-national organisation with a global guest mix.
- Knowledge of worldwide immigration is desirable.
- Experience of working with multinational offices is desirable.
- Experience of working with crewing system OCS is desirable.
