Sales Coordinator – North America (Rigid & HRC Business Units) As a key support partner to the Americas and Europe Sales Teams, this role provides high-level administrative and operational support across the Rigid and HRC business units. Reporting to the Sales Coordinator Team Leader at the global headquarters in Bolton, Canada, the coordinator ensures smooth daily operations, accurate data management, and efficient communication across regions.
Key Responsibilities:
•Deliver comprehensive administrative assistance to General Manager, Sales leadership, Key Account Managers, and Business Managers
•Manage all sales order entry and modifications across Rigid and HRC divisions, including backup coverage for North America and Europe
•Act as liaison between Sales and Project Engineering to align business priorities
•Maintain up-to-date CRM opportunity data to support sales forecasting and strategic planning
•Coordinate all business travel logistics and itineraries in compliance with company travel policy
•Compile accurate weekly and monthly performance reports (CRM, budgets, orders) for senior leadership
•Collaborate with the Credit Department to ensure accurate and complete order documentation
•Support annual budgeting by updating propensity files with input from Finance and Sales leaders
•Manage and process expenses in Concur for team travel and entertainment
•Organize and attend trade shows, customer meetings, and world tours both locally and internationally (3–4 times per year)
•Coordinate logistics and vendor engagement for sales/campus events.
•Lead contract sourcing and negotiation for vendors supporting sales events and trade shows
•Oversee onboarding for new Sales staff and contractors, ensuring training plans and tools are in place
•Contribute to special projects assigned by sales leadership
•Serve as backup to other Sales Coordinators and the Sales Office Manager during absences
•Contact with customers to fulfill registration requirements
•Host/support customer visits to Bolton campus
•Purchase office supplies
•Backup to Office Coordinator during absences or work overload
Qualifications & Experience Summary This position requires a background in administrative support with a strong emphasis on organization, communication, and customer engagement. Candidates should have:
•A minimum of 5 years’ experience in a similar administrative or coordinator role
•Proven skills in event planning and logistics coordination
•Exceptional organizational and project management skills with the ability to manage multiple priorities independently
•Strong interpersonal, verbal, and written communication abilities, including proficiency in creating reports and presentations
•Professionalism in customer interactions and the ability to represent the team effectively
•Flexibility to work outside of regular business hours during critical periods such as month- or quarter-end
•Proficiency in ERP and CRM systems, especially Microsoft Dynamics AX for order management
•Advanced user of Microsoft Office (Outlook, Excel, PowerPoint, Visio, and Word)
•Background in customer support
•Fluency in English (spoken and written); additional languages a strong asset
