The C‑Suite Executive Assistant / Office Manager is a pivotal role supporting the C‑Suite leadership team in our Belfast HQ while ensuring seamless office operations. This position blends high‑level executive support with operational management, requiring a proactive, highly organized, and discreet professional. The ideal candidate thrives in a fast‑paced environment, anticipates executive needs, and ensures both leadership and office functions operate efficiently.

Key Responsibilities
  • Provide comprehensive, high‑level support to the C‑Suite executive team.
  • Prepare supporting materials (agendas, briefing materials, and presentations for leadership meetings and board meetings) when directed.
  • Ensure follow‑ups, action items, and deadlines from executive meetings are met and keep executives on track ensuring key priorities are met.
  • Coordinate with wider team to manage complex calendars, scheduling, and meeting coordination across multiple stakeholders, flagging any potential bottlenecks.
  • Handle confidential and sensitive information with the utmost discretion.
  • Provide Personal Assistant (PA) support as well as other ad‑hoc personal tasks for executives to ensure their time and focus are optimized.
Office Management
  • Oversee day‑to‑day office operations, ensuring a professional, efficient, and well‑maintained environment.
  • Manage relationships with vendors, suppliers, and service providers to support office needs.
  • Coordinate office moves, setups, facilities projects, and equipment procurement.
  • Maintain and optimize office systems and resources.
  • Serve as the primary point of contact for staff regarding facilities operations.
Executive & Corporate Event Management Support
  • Support internal and external events as directed.
Strategic Administrative & Operational Support

  • Assist with reporting, data analysis, and documentation required by executives.
Skills & Qualifications
