We’re partnering with an award-winning architecture firm in search for a proactive and organised Office Coordinator to join their friendly studio in a varied and rewarding role. If you enjoy being the go-to person who keeps everything running smoothly, from greeting clients to supporting Directors, this could be the perfect opportunity.
The Role
As an Office Coordinator, you’ll be at the heart of the practice, providing vital support across administration, reception, marketing, health & safety, and senior management. It’s a great opportunity for someone at the start of their career, who enjoys variety and thrives in a collaborative, creative environment.
Key Responsibilities
Reception & Front of House
- Welcome clients and visitors, creating a warm, professional first impression
- Manage phone calls, mail, deliveries, and meeting room bookings
- Prepare meeting rooms with refreshments, A/V setup and layout
Office Administration
- Maintain efficient office systems, records, and supplies
- Process invoices, expenses, and data entry
- Liaise with suppliers and facilities to ensure smooth operations
Marketing Support
- Assist with website updates, social media, and marketing materials
- Coordinate photography, events and exhibitions
- Support the team with presentations and bid documents
Health & Safety / Quality Assurance
- Maintain up-to-date H&S and QA records
- Assist with compliance, audits, and certification renewals
- Help review and update policies and procedures
Executive Support
- Provide diary management and travel coordination for senior staff
- Prepare agendas, take minutes, and follow up on actions
- Support directors with presentations and internal communications
About You
You’ll be a confident communicator and natural organiser, with a positive and professional approach.
We’re looking for someone who has:
- Experience in an administrative or reception-based role
- Strong organisational and multitasking skills
- Great written and verbal communication
- Proficiency with MS Office; experience with design or social media tools is a bonus
- Attention to detail, reliability, and a proactive attitude
- Discretion and professionalism when handling confidential information
