Our client is seeking a highly organised, proactive and detail-focused Contracts Administrator to support their busy team. This is a varied role providing administrative and commercial support across live projects, ensuring documentation, compliance, ordering and client communication are managed accurately and efficiently. This is a part time position working closely with the Senior Contracts Manager and wider Contracts team. You'll play a key role in keeping projects organised, compliant and moving forward, while acting as an increasingly important point of contact for clients and subcontractors. The role offers genuine scope to develop your knowledge of contracts, commercial delivery and technical requirements, with training, mentoring and hands-on exposure to live projects provided.
Key Responsibilities:
- Provide administrative and commercial support across live projects, ensuring records and documentation remain accurate and up to date
- Set up and maintain project files, ensuring all information is organised throughout the project lifecycle
- Attend pre-start meetings, gather project information and follow up on outstanding actions
- Prepare site boxes, including required documentation, safety materials and PPE
- Prepare Construction Phase Plans, Health & Safety files and O&M manuals using available information and AI tools
- Maintain accurate project filing and documentation to support compliance and accessibility
- Manage project compliance, including registrations, licences, renewals and ISO 9001 requirements
- Maintain subcontractor portals, H&S libraries, certifications and training records
- Arrange subcontractor and departmental training and maintain relevant records
- Place supplier and subcontractor orders and monitor order status
- Prepare monthly hire reports and extensions, identifying potential overspends
- Monitor outstanding site visit reports
- Support labour sourcing and project resourcing requirements
- Liaise with clients, subcontractors and internal teams, ensuring queries are followed up and responded to promptly
- Organise department meetings, prepare minutes and distribute actions
- Monitor office PPE, H&S signage and first aid stock
- Follow up on actions and instructions from senior management, escalating outstanding matters where required
Skills and Experience:
- Previous administrative or contracts support experience, ideally within construction, roofing or a related industry
- Highly organised with excellent time management and attention to detail
- Strong written and verbal communication skills
- Confident dealing with clients, subcontractors and colleagues
- Good working knowledge of Microsoft Office, particularly Excel, Word and Outlook
- Confident using AI tools such as Claude, or highly capable of learning new systems quickly
- Proactive approach with the ability to anticipate requirements and take action without being prompted
- Methodical approach to documentation, records and compliance
- Ability to manage multiple live projects and competing priorities
- Full and clean driving licence
- Flexible and willing to develop knowledge of contracts, commercial processes and technical requirements
