We are seeking a highly organised, professional, and proactive Legal EA to join our client's growing team within the Private Equity sector. This role will provide comprehensive support to our legal team, focusing on the management of legal transactions, investor relations, and corporate governance associated with private equity deals and investments. As part of a fast-paced and dynamic environment, the ideal candidate will thrive in a detail-oriented role that requires discretion, initiative, and the ability to juggle multiple priorities efficiently.
Key Responsibilities:
- Support the legal team in the preparation, organisation, and review of key private equity legal documents, such as term sheets, investment agreements, shareholder agreements, and compliance documentation. Ensure that all documents are accurate, well-organised, and in compliance with relevant legal standards.
- Assist in the coordination of private equity transactions, including due diligence, funding rounds, acquisitions, and portfolio management. Help track timelines, deadlines, and milestones to ensure smooth execution of deals.
- Act as a liaison between legal professionals, investors, portfolio companies, and external legal advisors. Ensure prompt and professional communication with stakeholders, assisting in the preparation of updates and reports for investors and clients.
- Manage the busy calendars of senior legal team members, scheduling meetings with investors, portfolio companies, legal counsel, and other stakeholders. Prioritise appointments, coordinate meeting logistics, and ensure that all relevant documentation is prepared in advance.
- Conduct legal and financial research to support private equity transactions. This includes gathering and organising due diligence materials, reviewing financial statements, conducting background checks, and assisting with the analysis of investment opportunities.
- Assist with tracking legal fees and billable hours related to private equity transactions. Work closely with the finance team to ensure accurate invoicing and billing processes for legal services.
- Organise and coordinate logistics for investor and board meetings, including preparing meeting agendas, distributing relevant documents, and taking meeting minutes. Ensure that all parties are well-prepared for discussions on current deals, investments, and governance matters.
- Arrange travel and accommodations for legal team members attending board meetings, client presentations, or site visits. Organise logistics for internal and external events, such as private equity conferences, seminars, or investor roadshows.
- Maintain and organise confidential legal and financial documents related to private equity transactions. Ensure that all records are stored securely, in compliance with company and regulatory standards, and are easily accessible when needed.
- Provide day-to-day administrative support including answering phone calls, managing emails, maintaining office supplies, and performing ad-hoc duties to support the broader legal team.
Skills & Qualifications:
- Strong experience as a Personal Assistant, Executive Assistant, or in a similar administrative role, with a strong preference for experience in the legal or financial services sectors, particularly in private equity or investment firms.
- Familiarity with private equity terminology, investment structures, and legal documents is highly preferred.
- Exceptional organisational abilities, with a track record of managing complex schedules, deadlines, and high-pressure tasks. Ability to handle multiple projects simultaneously while maintaining attention to detail.
- Excellent verbal and written communication skills, with the ability to interact professionally with senior executives, investors, clients, and external legal counsel.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
- Strong proficiency with Microsoft Office Suite.
