Huntingdon Town Council is looking for a Facilities Assistant to support the Estates Manager in maintaining and managing Council properties and estates. This full‑time role is perfect for someone with experience or interest in facilities, estates, or property management and a good understanding of building maintenance and health & safety. You will assist with inspections, coordinate maintenance and repairs, help manage contractors and capital projects, support lease administration, and help ensure compliance with safety and insurance requirements. The role also involves administrative support, communication with tenants and staff, and working closely with the grounds team. We are seeking a proactive, organised individual with strong administrative abilities and attention to detail, who is comfortable working both independently and as part of a team. Experience in the public sector or with lease management is desirable but not essential. Specific Responsibilities

  • Maintenance and Operations Support: Assist in conducting regular inspections of Council buildings, land, and equipment. Support the scheduling and coordination of Planned Preventative Maintenance (PPM) and Reactive Maintenance works. Help maintain accurate records of inspections, repairs, and asset performance. Oversee minor repair works and liaise with contractors as directed by the Estates Manager.
  • Security and Property Management: Support the management of estate security systems including alarms, keys, and access fobs. Participate in the care, usage, and safeguarding of Council properties and assets. Attend CCTV partnership or security‑related meetings as required.
  • Contractor and Project Coordination: Assist in preparing scopes of work for repair and improvement projects. Support the procurement process by gathering quotations and monitoring contractors’ performance on‑site. Participate in capital project planning and delivery under the direction of the Estates Manager.
  • Asset and Lease Administration: Help maintain and update the Council’s asset register for audit and insurance purposes. Support the Estates Manager in lease management, including communication with tenants and updating lease records. Assist in ensuring timely rent reviews and property registration with Land Registry where required.
  • Health & Safety and Compliance: Conduct basic risk assessments for in‑house and contracted works, events, and public areas. Monitor contractor compliance with Health & Safety legislation. Assist in implementing and updating procedures in line with current regulations.
  • Insurance and Documentation: Help gather data for insurance renewals, updates, and claims. Assist in responding to recommendations made by insurers during annual inspections. Support the Estates Manager in ensuring insurance coverage is appropriate and up‑to‑date.
  • Administrative and Committee Support: Assist in the preparation of reports, agendas, and documentation for Council committees. Support the Estates Manager at meetings by taking notes and tracking action points as required.
  • Communication and Staff Liaison: Act as a point of contact for tenants and staff regarding facility‑related concerns. Assist in identifying training needs for maintenance staff and support upskilling efforts.
  • Grounds and Recreation Liaison: Coordinate with the Grounds team to ensure safe and well‑maintained play areas, parks, cemeteries, and allotments.
  • General: Provide cover for the Estates Manager during periods of absence. Participate in an annual performance review. Undertake any additional tasks as reasonably directed by the Estates Manager or Town Clerk.

Person Specification

  • Experience in a facilities, estates, or property management support role
  • Good knowledge of building maintenance and basic building services
  • IOSH or NEBOSH certification (or working towards)
  • Understanding of Health & Safety legislation and risk assessment procedures
  • Strong administrative and organisational skills
  • Proficient in Microsoft Office and facilities management systems
  • Effective communication and interpersonal skills
  • Ability to manage multiple tasks with attention to detail
  • Experience working within a public sector, local authority, or town council setting
  • Knowledge of lease agreements and building compliance documentation
  • Understanding of public procurement processes
