Roles/Responsibilities

  • Coordinate calendars, meetings, interviews, and submission deadlines for the bid and pre-construction teams.
  • Manage and maintain tender documentation, addendums, and correspondence through SharePoint and internal systems.
  • Ensure accurate document control and version management for electronic and hard copy files.
  • Distribute tender documentation to relevant internal teams and department heads.
  • Liaise regularly with estimating and pre-construction teams regarding tender updates and key deadlines.
  • Record, organise, and maintain subcontractor and supplier quotations.
  • Support the preparation of bid submissions, questionnaires, presentations, agendas, and meeting minutes.
  • Upload and download information through client and tender portals.
  • Provide administrative support to the Head of Preconstruction, Head of Estimating, and wider teams.
  • Assist in maintaining project photography and records on SharePoint.
  • Ensure compliance with company procedures, quality standards, and health & safety requirements.

Qualifications

  • Previous administrative experience is essential.
  • Experience within construction, engineering, or professional services environments is preferred.
  • Strong organisational and time management skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Outlook, Word, PowerPoint, Excel, and SharePoint preferred.
  • Familiarity with document control or tender processes is advantageous.
