Role Overview

We are seeking an experienced Operations & Finance Administrator to support financial administration and operational coordination across the Greywell Ventures portfolio. This is an individual contributor role. The successful candidate will be responsible for completing day-to-day administrative and coordination tasks independently, while working with senior stakeholders and external service providers.

Key Responsibilities

  • Finance and Administrative Support
    • Organise and maintain invoices, receipts, and supporting documentation
    • Track payments and transactions across projects and entities
    • Maintain records to support VAT filings and year-end accounting processes
    • Prepare summaries and documentation for external accountants
    • Support payment processing and record-keeping activities
  • Operational Coordination
    • Support day-to-day coordination with property developers, contractors, and suppliers
    • Track documentation, agreements, and payment schedules
    • Follow up on outstanding administrative items and correspondence
    • Maintain organised records of contracts and related documents
  • Compliance and Employment Administration Support
    • Support administrative record-keeping related to employer sponsorship requirements
    • Maintain internal records and documentation as required
    • Coordinate information requests with external advisors when needed
    • Track key dates and administrative deadlines
  • General Support
    • Provide general administrative and operational support across the business
    • Assist with process improvements and documentation organisation
    • Handle confidential information responsibly

Experience and Skills

  • Previous experience in operations, finance administration, or similar roles
  • Experience working with invoices, transaction records, and documentation
  • Comfortable working independently in a remote environment
  • Experience liaising with external accountants or professional advisors
  • Strong organisational and time management skills
  • Proficiency in Excel or Google Sheets
  • Clear written and verbal communication skills
