Salary: £24,538 per annum

Annual Leave: 31 days per annum (excluding bank holidays and up to 3 additional discretionary days over the Christmas/New Year period)

As our Customer Service & Compliance Assistant, you will act as the primary point of contact for the Wilberforce reception by managing the front-of-house reception desk, offering exceptional customer service to all learners, visitors, and external stakeholders. Alongside front-of-house duties, the post holder will provide administrative support to ensure high standards of data compliance, accurate record-keeping, and proper audit preparation in line with college requirements.

Responsibilities of our Customer Service & Compliance Assistant:

  • Work as the lead receptionist and primary point of contact for the Wilberforce building, ensuring a warm, professional, and welcoming environment for all learners, visitors, and external partners
  • Handle day-to-day face-to-face, phone, and email enquiries, providing accurate information, advice, and guidance regarding courses and organisational services
  • Support with issuing student ID badges and maintaining visitor sign-in procedures and assisting with promotional events, open days, and learner Information and Inductions as required
  • Efficiently process, input, and maintain accurate learner data and records across departmental software and databases
  • Perform regular audits of client data to safeguard data integrity as part of quality sampling plans
  • Assist with learner file archiving and retrieval in line with organisational data retention processes
  • Accurately carry out qualification completion processes within internal systems in a timely manner
  • Assist the team in gathering non-financial performance data, attendance records, and progression statistics to support internal and external audits
  • Arrange meetings, circulate agenda items, and take clear, accurate meeting minutes when required

What we're looking for in our Customer Service & Compliance Assistant:

  • Minimum Level 2 in Maths & English
  • Experience or background in a customer-facing role
  • Experience in accurate record-keeping and data entry
  • Understanding or awareness of GDPR and handling sensitive data
  • Strong ICT skills (confident using databases, spreadsheets, email, internet)
  • Ability to remain calm and focused in a busy front-of-house environment
  • Ability to work flexibly (occasional evening/weekend work if required)

Desirable:

  • Level 2 IT qualification or equivalent standard
  • Customer Care Qualification
  • Basic awareness of compliance frameworks or record auditing
  • Prior experience in an educational or training setting
