Join to apply for the Facilities Coordinator role at HubSpot. We’re looking for a proactive, detail-oriented, and people-first facilities professional to join our London HubSpot office. This role is pivotal in creating an engaging, smooth-running office experience for our employees, visitors, and event guests. You’ll be the go-to person for daily operations, facilities coordination, and the heartbeat behind our vibrant office.

Responsibilities

  • Ensure the day-to-day running of the office is efficient, welcoming, and aligned with HubSpot’s standards.
  • Liaise with building management and external vendors to manage cleaning, maintenance, and safety compliance.
  • Support our Physical security team, reporting breaches, managing access control and safety & welfare.
  • Monitor and manage office supplies, equipment, and inventory.
  • Coordinate desk assignments and meeting room readiness.
  • Ensure health & safety practices are followed and documented.
  • Oversee incoming and outgoing mail, courier services, and deliveries.
  • Maintain a clean, organized, and productive work environment.

Workplace Experience

  • Be the first point of contact for employees, new hires, and visitors.
  • Welcome guests and create a seamless visitor experience.
  • Assist with onboarding logistics for new team members (desk setup, access badges, welcome kits, etc.).
  • Support internal communications for office updates, policies, and event announcements.
  • Champion our office culture by contributing to a fun, inclusive, and collaborative environment.

Event Support

  • Provide operational support for internal and external events held in the office, including infrequent evening / Weekend events.
  • Set up event spaces, manage catering and AV needs, and provide on-site coordination.
  • Collaborate with Events, Marketing, and People Ops teams to ensure successful execution.
  • Help with post-event breakdown and follow-up as needed.

What We’re Looking For

  • 2+ years in office coordination, facilities, or workplace experience roles.
  • Strong organizational and multitasking skills with great attention to detail.
  • A confident communicator and enthusiastic problem-solver.
  • Comfortable working both independently and collaboratively.
  • Willingness to occasionally work flexible hours to support events.
  • Experience using tools like Google Workspace, Slack, and basic AV equipment is a plus.
  • A people-first mindset and love for building great workplace experiences.
