We are looking for an experienced multi-tasker with excellent communication skills and a consistent upbeat attitude. The candidate should be able to assist management by handling a variety of office facilities tasks and project management. We are recruiting for an IFM Coordinator to join the team at Cambridge, Science Park. The successful candidate will support the IFM Manager & Admin team in delivering a proactive administration model to support the development of the contract across all services.
Responsibilities
- IFM supplier/contractor communication (Campus/Office). Responsibilities include daily contract management and daily operation communication with the site team and IFM suppliers.
- Assisting with Tenants management, including lease contract management, service fee management (including the utility fee), daily communication, dispute management, and facility management.
- Assisting with Project management of campus/office, e.g. office decoration projects, office relocation projects, and other small renovation projects.
- Assisting with Supplier management including contract management, KPI management, cooperation relationship management, and related activities.
- Office environment management, including space management and daily operations of each office; track repair requests and monitor progress until full delivery of the service. Ensure all PPMs are scheduled correctly and carried out on time to meet requirements.
Qualifications
- The ideal candidate should be professional, attentive with a good understanding of processes and attention to detail. They should be prepared and responsive, willing to meet challenges, and responsible for the result.
- The successful candidate must be a team player comfortable with computers, including Excel, PowerPoint and Word, and proficient in both business English written and verbal communication.
- Role suited to a result-oriented, experienced, resourceful all-rounder. Must have genuine desire to meet the needs of others.
- IFM coordinator/Assistant experience of at least 1 year.
- Supplier management or team management experience of at least 1 year.
- Good communication ability. Fluency in English (written and spoken); good command of MS Office (Word, Excel, PowerPoint, Outlook).
- Team spirit and openness for an international environment; result-driven attitude; well-organized and structured working style.
- Ability to work within tight deadlines; flexible and willing to adapt to changing business needs.
- Relevant background or specialized qualification in Facility and/or Construction Management; relevant EHS qualifications; RE related qualifications preferred.
- Language skills: Predominantly English; Mandarin language skills would be of great interest.
- IOSH Certification; familiarity with IFM-related compliance.
