Job Summary: We are looking for a multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist management by handling a variety of office management and event organization requirements. The candidates should be professional, attentive with a good understanding of processes and an attention to detail. They should always be prepared and responsive, willing to meet each challenge directly and be responsible for the result. The successful candidate must be a team player comfortable with computers, including software such as Excel, PowerPoint and Word, as well as proficient in written and verbal communication in multiple languages. In short, the role would best suit a result-oriented, resourceful all-rounder. However, most importantly, they should have a genuine desire to meet the needs of others.

Key Responsibilities:

  • Office management: Ensure smooth office daily operation; continuously improve the office environment and deal with staff daily requests/complaints. Develop office improvement plans and supervise all tasks end to end.
  • Facilities management: Raise, arrange, follow up and resolve any issues with facilities teams and landlord.
  • EHS management: Oversee office environment and operation to meet EHS requirements throughout the whole office.
  • Real estate management: Support European RE team with the office lease extension and office fit out works. Act as local contact to collect requirements from business teams and ensure a smooth delivery of the project.
  • Team collaboration and management: Manage receptionist duties, make regular summaries of administrative work, and regularly communicate with other Admin team members to achieve shared objectives.
  • Events support: Organize events and meetings, and provide timely support to supervisors and departments.
  • Office assets management: Regularly check asset management quality and supervise and provide support if required.
  • Procurement assistant: Raise purchase orders as requested and receive services/goods, proceeding with payments in a timely manner.
  • Sim card Management and Business trip support: Manage allowances allocation for expatriates.
  • Other businesses: Handle ad hoc requests and urgent cases to support business teams in a timely manner.
