Job Summary: We are looking for a multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist management by handling a variety of office management and event organization requirements. The successful candidate must be a team player comfortable with computers, including software such as Excel, PowerPoint and Word, as well as proficient in written and verbal communication in multiple languages.
Key Responsibilities:- Office management: Ensure smooth office daily operation; continuously improve the office environment and deal with staff daily requests/complaints.
- Facilities management: Raise, arrange, follow up and resolve any issues with facilities teams and landlord.
- EHS management: Oversee office environment and operation to meet EHS requirements throughout the whole office.
- Real estate management: Support European RE team with the office lease extension and office fit out works.
- Team collaboration and management: Manage receptionist duties, make regular summaries of administrative work, and communicate with other Admin team members to achieve shared objectives.
- Events support: Organization of events and meetings, and timely support to supervisors and departments.
- Office assets management: Regularly check asset management quality and provide support if required.
- Procurement assistant: Raise purchase orders as requested and process payments on a timely manner.
- Sim card Management and Business trip support; manage allowances allocation for expatriates.
- Other businesses: Handle ad hoc requests and urgent cases to support business teams in a timely manner.
