The Brand and Product Operations Executive is responsible for the coordination and execution of product, marketing, showroom, photography, and event activities across the business.
Working closely with Marketing, Product, Sales, Creative, Logistics, and external suppliers, you will ensure product samples, marketing assets, photography, video content, and supporting systems are managed accurately and delivered on time.
This is a highly organised, hands‑on role focused on operational excellence, requiring strong attention to detail, effective stakeholder coordination, and the ability to manage multiple priorities in a fast‑paced environment.
Please note: This role involves occasional lifting and handling of product samples and event materials, as well as occasional travel to trade shows, events, photoshoots, and external meetings as required.

Key Responsibilities
- 1. Product and Systems Administration
- Product Data and Asset Management
- Maintain marketing‑related product information, digital assets, and supporting documentation across Net Suite, One Drive, Share Point, and shared business systems.
- Maintain organised file structures and digital asset libraries to support easy access across the business.
- Identify and resolve data discrepancies, missing assets, file issues, and record inconsistencies.
- Product Launch Support (SS/AW)
- Support the coordination of marketing asset delivery for new product launches.
- Work closely with Product, Marketing, Design, and Sales teams, as well as external suppliers, to ensure photography, video content, sales materials, and supporting assets are delivered in line with project timelines.
- Assist with the administration and tracking of launch‑related marketing materials and approvals.
- Reporting and Tracker Maintenance
- Maintain trackers, project schedules, product documentation, sample records, and departmental administration.
- Support the Marketing Manager with the collection, consolidation, and preparation of information required for Board reports, leadership updates, and departmental presentations.
- 2. Showroom and Sample Coordination
- Showroom Management
- Support the planning and coordination of twice‑yearly showroom relaunches.
- Coordinate showroom administration, including timelines, graphics, videos, product samples, and supporting materials.
- Assist with showroom preparation and upkeep to ensure displays remain accurate and presentation ready.
- Sample Management
- Coordinate marketing sample requests for photography, influencer campaigns, promotions, events, and internal business requirements.
- Coordinate the preparation, packing, labelling, storage, movement, and tracking of product samples for photography, events, customer meetings, influencer activity, and retail presentations.
- Track incoming and outgoing sample movements and maintain accurate sample records.
- Maintain the online sample tracking system and associated documentation.
- Work with Product and Marketing teams to support sample availability and replenishment requirements.
- 3. Trade Show and Event Administration
- Event Coordination
- Provide administrative support for trade shows, retailer previews, charity events, company events, and internal activities.
- Maintain event timelines, project trackers, key deadlines, and task ownership documentation.
- Assist in coordinating pre‑event requirements, including product lists, sample inventories, supplier information, and supporting materials.
- Logistics and Shipping
- Coordinate the packing, labelling, dispatch, and tracking of domestic and international sample shipments.
- Work with the Logistics department to book couriers and freight services, monitor deliveries, and resolve shipment issues where required.
- Ensure all shipping documentation is completed accurately and on time.
- Support the movement of products, displays, and promotional assets for events and exhibitions.
- Event Administration
- Coordinate catering, hospitality, meeting arrangements, and operational event requirements.
- Maintain organised records relating to suppliers, shipments, event costs, and post‑event administration.
- 4. Photography, Video and Production Coordination
- Project Coordination
- Monitor photography and video requests, project timelines, and asset delivery deadlines.
- Coordinate internal stakeholders and external suppliers including photographers, videographers, agencies, and production partners.
- Maintain photography and video schedules, trackers, and content calendars.
- Asset Management
- Act as the first point of contact for internal requests relating to marketing assets, ensuring teams can quickly access approved photography, video content, and supporting documentation.
- Manage the storage, organisation, filing, and distribution of marketing assets across company systems and platforms.
- Upload and maintain approved content across Net Suite, One Drive, and other relevant platforms.
- Ensure internal teams are notified when approved assets become available.
- Maintain records relating to completed assets, supplier costs, project expenditure, and asset usage.
- Approval Management
- Coordinate approval workflows for showroom graphics, marketing visuals, photography, video content, and point‑of‑sale materials.
- Track approval status, gather stakeholder feedback, and ensure amendments are communicated to designers, suppliers and creative partners.
- Manage approval schedules and proactively follow up with Senior Leadership and stakeholders to ensure decisions, feedback, and approvals are received within agreed project timelines.
- Communicate feedback and revision requests to photographers, videographers, designers, and production suppliers.
- Maintain records relating to completed assets, supplier costs, project expenditure, and asset usage.
- 5. Photography, Video Shoot and Asset Administration
- Shoot Preparation
- Support the planning and administration of photography and video shoots.
- Prepare schedules, product selections, accessories, paperwork, approvals, and supporting materials.
- Organise locations, logistics, and documentation where required.
- Shoot Support
- Attend shoots where required to support Product and Marketing teams.
- Ensure products, accessories, and supporting materials are available and prepared correctly.
- Assist with the smooth running of shoot activities and completion of required documentation.
- Post‑Shoot Administration
- Manage the organisation and filing of completed assets and supporting paperwork.
- Coordinate the distribution of approved imagery, video content, and POS materials to internal and external stakeholders including Sales teams, licensors, retailers, distributors, and agencies.
- 6. Child Licensing and Model Coordination

- Coordinate child licensing applications, renewals, risk assessments, and required documentation.

- Act as the main point of contact for parents, councils, and relevant external bodies through the Photography email account.
- Maintain the company model portfolio, ensuring records, images, age groups, and contact information remain up to date.
- Communicate with parents regarding approved imagery, project requirements, and content sharing where appropriate.
Skills and Experience
- 1-3 years' experience in a marketing, product administration, retail operations, trade marketing support, or similar coordination role.
- Strong organisational and administrative skills, with the ability to manage multiple priorities, deadlines, and projects in a fast‑paced environment.
- Experience working with physical products, product samples, stock administration, inventory records, or SKU‑based product ranges.
- Proficient in Microsoft 365, particularly Excel, Outlook, Teams, Share Point, and One Drive, with experience maintaining trackers, databases, asset libraries, and operational records.
- Excellent communication and stakeholder management skills, with a proactive, hands‑on approach to problem solving.
- Full UK driving licence required.
- Experience using Net Suite or similar product, inventory, asset management, or business systems.
- Experience within toys, consumer products, retail, e‑commerce, licensing, or FMCG environments.
- Experience supporting trade shows, exhibitions, events, showrooms, product launches, or marketing campaigns.
- Knowledge of photography, video production, digital asset management, marketing content administration, international shipments, or supplier logistics.
