The Client Billing & Receivables Lead owns CCM’s end-to-end client billing and receivables process. You are the firm’s named point of contact for billing, invoicing, payments, and debtor queries, ensuring fees are billed accurately, cash is allocated correctly, and issues are resolved early and professionally. This role is about getting billing right first time and maintaining clean, reliable debtor records. Credit control is part of the role, but the emphasis is on accuracy, clarity, and early resolution rather than persistent chasing. This is a trusted, long-term role suited to someone who values continuity, discretion, and professional standards within a small, relationship-driven firm.

Key Responsibilities

  • Client Billing & Fee Control
    • Act as the primary point of contact for client billing and payment queries.
    • Issue credit notes and invoice amendments with a clear audit trail.
    • Liaise with partners and fee-earners to confirm scope, timing, and agreed fees.
    • Ensure billing reflects agreed terms and professional standards.
  • Cash Allocation & Reconciliation
    • Allocate client payments accurately, including bank receipts and direct debits.
    • Maintain clean and reliable debtor balances so reports reflect reality.
    • Investigate and resolve short payments, overpayments, and misallocations promptly.
  • Receivables Management
    • Monitor aged debt and outstanding balances on an ongoing basis.
    • Regularly contact clients where necessary to resolve delays, queries, or administrative issues.
    • Escalate persistent or complex matters with clear facts and sensible recommendations.
  • Reporting & Control
    • Produce clear debtor, billing, and cash-collection reports for partners.
    • Identify recurring billing or payment issues and support process improvements.
    • Maintain accurate records to support internal reporting and decision-making.
  • Authority & Decision-Making
    • Authority to agree billing adjustments or credits up to £250 directly with clients.
    • Adjustments above £250 require partner approval.
    • Expected to escalate issues early, with clear analysis and practical recommendations.

Experience and Skills

Essential

  • Experience working in a professional services environment (e.g. accountancy, legal, consultancy).
  • Clear understanding of how professional firms bill clients and manage fees.
  • Experience dealing directly with clients on billing and payment matters.
  • High attention to detail with strong reconciliation and accuracy skills.
  • Ability to work independently and take ownership of a defined function.

Useful, but not Essential

  • Experience using Xero for invoicing, allocations, and debtor reporting.
  • Familiarity with practice management or billing systems (e.g. Engager).
  • Understanding of UK VAT and invoicing conventions.
  • Specific systems can be taught; professional services billing experience cannot.

Personal Fit

This role will suit someone who:

  • Is seeking a stable, long-term role in a small, well-run firm.
  • Enjoys being a trusted point of contact rather than managing people.
  • Is calm, professional, and practical when dealing with clients.
  • Values accuracy, discretion, and follow-through over pace or volume.

Working Pattern & Terms

Part-time: 2-3 days per week (school-hours considered). Flexible working arrangement.

Additional Information

This role is central to CCM’s financial hygiene and client experience. Confidentiality, judgement, and professionalism are essential. This description reflects expectations as at January 2026 and may evolve with the firm’s needs.
