Responsibilities
- Manage requests via the ProService Product Mailbox, including processing purchase orders (POs), updating pricing, adding carriage costs, handling order queries, and chasing outstanding orders.
- Create and maintain supplier records, including onboarding new suppliers within Spanner.
- Maintain model books, ensuring product pricing and nominal codes are accurate.
- Raise and track POs for carriers and third-party services, maintaining the PO tracker for visibility.
- Manage proforma accounts, liaising with suppliers and Accounts Payable to resolve queries.
- Run weekly proforma and on stop supplier reports, distributing them across the business.
- Manage utilities-related billing and reconciliation, ensuring invoices are matched to the correct properties and accounts through normal group processes.
- Raise and track indirect facilities-related work requests and instructions, ensuring tasks are allocated, completed, and recorded appropriately.
- Review supplier performance and pricing across allocated areas to ensure value for money and service quality.
- Conduct supplier audits where necessary and work with vendors to drive service improvements.

- Proficient in Excel and ERP systems (e.g. Spanner, Commercial).
- Confident communicator with suppliers, branches, and internal teams.
- Organised and detail-focused, with the ability to manage multiple priorities.
- Experience working with Accounts Payable or within a finance-linked function.
- Understanding of procurement principles and commercial awareness.
- Solution-based, positive, and collaborative mindset — proactive in identifying process improvements and confident to challenge where appropriate.
