Purpose of the Role
Responsible for supporting the Delivery team and Senior Delivery Manager in managing a portfolio of customers and optimisations/enhancements against a set of customer-agreed operational and financial targets, as well as managing your own backlog of work and customers. Provide support in planning, resourcing, direction, focus, communication and results on behalf of the Delivery team in Optimisation projects that lead to excellent customer feedback based on accurate and timely reporting.
Key Responsibilities
- Play a key role within ‘HSO Managed Services’ to ensure a first-class service is delivered to new and existing customers.
- Ensure all assigned optimisations are delivered on time and within budget, maintaining required PSC levels.
- Ensure invoicing is completed timely and accurately, flagging any potential budget overruns early and obtaining full customer approval before formal invoicing.
- Use the Microsoft DevOps application to capture all ongoing tasks and updates internally, and other systems as required to ensure regular and accurate communication with customers.
- Carry out additional duties as instructed and agreed by the Managed Services Team Lead.
- Ensure timely completion of internal processes and requirements as per the Company Handbook and Quality System.
- Operate in accordance with HSO ISO27001 and GDPR policies and procedures.
- Represent HSO professionally and positively, adhering to health and safety policy and other equipment care requirements.
- Ensure releases for customers are done inline with other HSO and customer activities.
Project & Stakeholder Management
- Capture and, if necessary, escalate quality concerns to keep customers informed of potential impacts on timelines and finances.
- Explain any changes in plans or delivery to customers to set and meet expectations.
- Produce and own a resourcing plan to fulfil upcoming tasks cost-effectively.
- Lead regular alignment calls with delivery teams for progress updates.
- Complete real-time reporting for team, customers and senior management, including hours used against ongoing projects and service profitability.
- Serve as a point of contact for optimisation projects as required, taking ownership of communication and collaborative issue resolution.
- Participate in the change process on behalf of customers, ensuring scheduled changes progress and stakeholders are updated, and any live production deployments are presented and approved at CAB before deployment.
- Contribute to development and management of DevOps and other MS systems to provide accurate KPIs (time to deliver estimates, work orders, programme delivery to customers).
Visibility and Representation
- Carry out additional duties as instructed and agreed by the Managed Services Senior Leadership Team.
- Act as an advocate for Managed Services within the organisation.
- Raise any concerns to the relevant roles in managed services and line manager timely.
- Work with the PMO team to ensure timesheet codes are available for all customer projects, including tasks to be completed.
Requirements
Essential Experience and Skills
- Previous experience in a project office/project delivery role.
- Project Management qualification (preferred).
- Strong Microsoft Office skills, including Microsoft Project.
- Ability to work in a busy environment and remain calm under pressure.
- Ability to work well within a team and develop good relationships with stakeholders, both internally and externally.
- High degree of self-motivation.
- Ability to work to tight timescales.
- Good communication and facilitation skills.
- Exposure to and use of project management methodologies and lifecycle (ability to hold meaningful conversations with PMs and challenge where necessary).
