As our Project Coordinator, you will take total ownership of resource planning, route scheduling, and contract administration across the region. You will be the vital link connecting our field technicians, the South Utilities Project Manager, and our water utility clients in this fast‑paced role that balances a high volume of pre‑planned, routine environmental monitoring visits with sudden, reactive client demands. Your organisational skills will directly ensure that our field teams have the right schedules, documentation, and equipment to complete their site visits safely, on time, and in full compliance with regulatory standards.
Responsibilities
- Create, update, and manage regional field schedules using our in‑house planning software, optimising technician routes to minimise mileage and maximise productive time on site.
- Coordinate regional resource allocation, ensuring fully trained field technicians are deployed effectively while proactively managing coverage for holidays, sickness, and unexpected absences.
- Act as the primary, dependable point of contact between regional management, water utility clients, and field technicians – resolving operational queries and providing clear, timely updates.
- Organise and prioritise incoming work requests, ensuring all technical project information is gathered from the client and made clearly available to technicians prior to deployment.
- Collaborate closely with laboratory contacts and clients to ensure all supporting compliance documentation and sampling media (bottles, kits, etc.) are organised and delivered to technicians ahead of site visits.
- Review and submit field data reports directly to clients, maintaining absolute data accuracy within our scheduling systems and escalating any non‑conformances against job‑specific instructions to management.
- Contribute valuable insights to monthly operational reporting, future resource forecasting, and continuous service delivery improvement initiatives.
Qualifications
- Proven experience working as a scheduler, dispatcher, or operations coordinator using specialised in‑house planning or logistical software.
- Exceptional time management, multi‑tasking abilities, and coordination skills, with a natural knack for solving logistical puzzles.
- Strong understanding of contract delivery, operational efficiency, and the commercial impact of accurate scheduling.
- Outstanding interpersonal and problem‑solving abilities, with the confidence to manage expectations across field crews and corporate clients alike.
