In this pivotal role, you will lead, motivate, and develop a dedicated team of operational support coordinators responsible for scheduling and managing water hygiene compliance activities. Combining hands-on operational support (managing Level 3 duties for strategic accounts) with direct people management, you will ensure daily administrative workloads are perfectly executed. You will act as the data guardian for your region - driving the adoption of modern Power Platform tools, tracking service delivery KPIs, and stepping in to provide crucial escalation updates to the Regional Director when needed.

What You’ll Be Doing

  • Direct a team of operational support coordinators, allocating daily workloads and monitoring administrative tasks to guarantee maximum efficiency.
  • Drive accountability and engagement by conducting regular team meetings, structured one-to-ones, and formal performance reviews.
  • Onboard and train team members, specifically championing the use of compliance databases and internal Power Platform tools.
  • Cultivate a positive, safety-first team culture and actively step in to provide operational cover during holiday or sickness periods to ensure time-sensitive tasks never slip.
  • Directly undertake high-level Regional Operational Support Co-ordinator (Level 3) scheduling and administrative duties for allocated key accounts.
  • Act as the central coordination point between field engineering teams, regional supervisors, account managers, and external clients. Monitor service delivery timelines. Promptly raise operational delivery risks to line management and provide proactive escalation updates directly to the Regional Director.
  • Respond professionally to high-level client enquiries, supporting account managers with precise data insights and documentation ahead of client review meetings.
  • Conduct rigorous, routine data quality checks across compliance records, implementing immediate corrective actions where system discrepancies are found.
  • Partner closely with the account management team to support the monthly commercial and operational month-end review process.
  • Support the development of standard operating procedures (SOPs) and actively identify opportunities for workflow automation or systems integration to minimise manual administration.
  • Spearhead pilot schemes and staff engagement for new system features or process upgrades, driving a culture of continuous improvement.

What We’re Looking For

  • Experience managing, mentoring, or leading an administrative, scheduling, or operations team in a fast-paced environment.
  • Experience working within water hygiene, Legionella control, or a closely related facilities management/compliance scheduling sector is highly advantageous.
  • High proficiency with modern corporate software, with practical experience or strong familiarity utilising Microsoft Power Platform tools and automated workflows.
  • Excellent attention to detail with an aptitude for data quality checking, reporting, and tracking service delivery KPIs.
  • Outstanding interpersonal skills, with the confidence to manage stakeholder expectations, handle client queries, and present data clearly to senior directors.
  • A collaborative professional willing to attend regular internal and customer-facing Microsoft Teams or in-person meetings as required.
