Finance Assistant

We are looking for an organised and dependable Finance Assistant to support our Belfast operation across finance, purchasing, sales administration and credit control.
This is a varied role combining day-to-day transactional finance with purchasing, customer invoicing and month-end reporting.
You will work with colleagues at Head Office, engineers, customers, suppliers and our external accountant to ensure financial information is processed accurately and on time.
The role would suit someone who enjoys working with numbers, has strong attention to detail and is comfortable managing several different priorities in a busy environment.
- What You’ll Be Doing
- Finance and Credit Control
- Transfer sales and purchase invoices from Dext into Xero, checking that all information is accurate and correctly coded.
- Prepare creditor payment runs and submit payments to the bank.
- Allocate customer payments against the correct debtor accounts.
- Complete regular bank reconciliations in Xero.
- Carry out credit control, contacting customers professionally regarding overdue invoices and outstanding balances.
- Process payroll timesheets and hours before sending the completed information to the accountant three days before month-end.
- Purchasing
- Order parts, materials and chemicals using correctly coded purchase requests submitted to Head Office.
- Follow up on orders and coordinate deliveries or collections from suppliers across the UK, Ireland and the local area.
- Arrange local couriers or engineer collections to ensure goods are delivered where and when they are needed.
- Receipt purchase orders and send the completed information to Head Office each week for processing in Business Central.
- Sales Administration
- Check engineers’ service sheets against customer purchase orders and raise invoices daily in Business Central.
- Send laboratory sample reports to customers promptly.
- Respond to daily telephone and email enquiries and process customer orders accurately.
- Liaise with engineers, customers and internal teams to resolve missing information or invoicing queries.
- Weekly and Month-End Reporting
- Prepare and maintain the monthly financial forecast.
- Analyse revenue and intercompany costs.
- Include work in progress within monthly revenue reporting.
- Report costs against work in progress and ensure transactions are correctly coded.
- Use Business Central and Excel to prepare accurate weekly and month-end information.
- Stock and General Administration
- Assist the Head Engineer with monthly stock takes and report the results accurately in Excel.
- Answer incoming telephone calls and provide general administrative support to the wider team.
- Contribute to shared office duties, including helping with refreshments when required.
- What We’re Looking For
- Previous experience in a finance assistant, accounts assistant, purchase ledger, sales ledger or similar position.
- Experience of credit control and confidently communicating with customers about outstanding payments.
- Working knowledge of Xero and Dext would be an advantage, although experience using Sage or another accounting system will also be considered.
- Good Microsoft Excel skills and confidence working with financial reports and spreadsheets.
- Strong numerical ability, excellent attention to detail and an organised approach to work.
- The ability to prioritise different tasks and meet weekly and month-end deadlines.
- Clear and professional written and verbal communication skills.
- A helpful, flexible approach and the willingness to support colleagues across the wider business.
