Balfour Beatty VINCI is HS2’s construction partner in the Midlands, responsible for delivering 90km of the route, from Long Itchington in Warwickshire to the centre of Birmingham and on to Handsacre in Staffordshire.

Location

Based at Fort Dunlop – this location sits on the eastern edge of Birmingham, adjacent to the M6 motorway, providing excellent transport links into the city and across the region.

Fort Dunlop serves as a key hub within IPT Area North, supporting operations that span multiple sublots and regional activities.

Its strategic position makes it an important point for coordination and access, with proximity to major infrastructure routes ensuring connectivity to both the Central Region and wider project areas.

Responsibilities

  • Carry out administrative processes relating to Health, Hygiene and Wellbeing, ensuring alignment with BBV processes and document control requirements.
  • Manage inboxes, ensuring correspondence is monitored, logged, directed appropriately and followed up in a timely manner.
  • Schedule and support meetings, including diary coordination, agendas, minutes, action tracking and follow-up.
  • Support monthly reporting and HSPI submissions by collating information, updating trackers and preparing draft summaries for review.
  • Maintain accurate records, trackers, contact lists, distribution lists and filing structures across Share Point and other project systems.
  • Support administration linked to safety‑critical medical certificates, Biosite processes, supply chain certificate validation, escalating concerns where required.
  • Provide administrative support to Drug & Alcohol processes, including data entry, tracker maintenance and document control.
  • Support assurance activity by coordinating information requests, collating evidence, maintaining audit trackers and supporting follow‑up actions.
  • Assist with preparing, formatting, version controlling and issuing Health, Hygiene and Wellbeing documents, templates, presentations and communications.
  • Support the digitisation, housekeeping and improvement of Occupational Health files and records.
  • Assist with maintaining digital engagement resources, including Share Point, Sway, Microsoft Forms and related communication materials.
  • Support campaigns, engagement activity, meetings, site visits and events.
  • Liaise with internal colleagues, service providers and supply chain contacts to coordinate routine information requests and administrative actions.
  • Provide general administrative support, escalating technical, clinical, operational or governance matters to the relevant lead or manager.
  • Demonstrate a personal commitment to supporting positive health, hygiene and wellbeing outcomes across the project.

Qualifications

  • Previous administration experience, ideally within a project, construction, health, safety, occupational health, wellbeing or similar environment.
  • Strong organisational skills, with the ability to manage inboxes, meetings, action trackers, records, reporting deadlines and competing priorities.
  • Experience of meeting administration, minute taking, diary coordination, action tracking and preparing meeting papers.
  • Good written communication skills, including accurate spelling, grammar, formatting and document preparation.
  • High level of accuracy and attention to detail when handling records, reports, trackers, certificates and governance information.
  • Ability to collate information from different sources and prepare clear summaries for review.
  • Ability to work effectively within standardised processes, templates and governance arrangements.
  • Ability to handle confidential and sensitive information appropriately and escalate issues where required.
  • IT literate with a good working knowledge of Microsoft Office 365, including Word, Excel, Power Point, Share Point, Forms and Sway.
