Purpose of the Role
Provides vital administrative and operational support, ensuring smooth day-to-day execution of key processes. This role plays an important part in maintaining data accuracy, communicating with suppliers and customers, and supporting buyers in managing pricing, stock, and promotional activities.
Key Responsibilities
- Administrative & Process Support
Create and monitor Purchase Orders (POs), ensuring timely confirmations and accurate documentation, reconcile discrepancies. Update payment tracker with invoices, POs, NCs. Handle Non-Conformance (NC) documentation and coordinate follow-up actions. Maintain trackers including Key customers’ sales, Forecasts, Inbound transport, Promotion, and Seasonal Calendars. Manage product samples. Coordinate schedules with logistics partners. Handle customs documentation and ensure compliance with relevant import/export requirements. - Stock & Reporting
Support with stock takes, adjustments, and reporting of daily stock levels. Maintain and update the Goods in tracker and Delivery Note records. - Commercial Support
Maintain customer price lists and internal product databases. Support with customer communication, including confirmations, updates, and promotions. Assist with new line form updates and technical documentation monitoring.
Skills & Experience Required
- Essential
Experience in an administrative or coordination role, ideally within a buying, procurement, or supply chain environment. Strong attention to detail and accuracy in data management. Excellent Excel and general MS Office skills. Experience with ERP or purchasing systems. Strong organisational and communication skills. Ability to prioritise and manage multiple tasks in a fast-paced environment. Comfortable liaising with internal stakeholders, suppliers, and customers. - Desirable
Experience in the Fresh Produce / Food industry. Understanding of supply chain or logistics processes.
Personal Attributes
Proactive and solution focused. Collaborative team player with a can-do attitude & ability to work independently. Reliable and able to handle sensitive data confidentially. Keen to learn and develop within the buying function.
