The Role
We are seeking a highly organised, proactive Senior Events Associate with strong experience delivering professional events in a fast-paced environment. This role is central to delivering Howden CAP’s internal and external events to the highest standard, supporting marketing activity, improving processes, tracking costs, and ensuring operational excellence. You will blend logistics, creativity, communication, systems management, and process improvement — with ownership of key tools such as SharePoint, Excel trackers, Monday.com, and CRM systems.
What you’ll do
- Event Planning & Execution
- Map out all CAP events across Pillars with the Head of Client Engagement.
- Plan and execute events end to end, including venue sourcing, supplier coordination, attendee management, logistics, and on-site delivery.
- Attend events to oversee setup, ensure high quality execution, and resolve last minute challenges.
- Coordinate conferences, external events, team away days, and international engagements with agencies and vendors.
- Liaise regularly with Group Events to remain aligned on company‑wide activity, share insights, avoid clashes, and integrate best practices.
- Marketing, Design & Content Creation
- Collaborate with Marketing to design event invitations and track RSVPs.
- Draft engaging written content for event invitations, emails, and event-related communications.
- Draft LinkedIn posts for pre-event announcements, live updates (if relevant), and post event highlights.
- Design branded invitations and light marketing materials using Canva, PowerPoint, and Adobe tools.
- Support the creation of post event content such as videos, thank you emails, and follow up materials.
- Data, Reporting & Systems
- Track all event activities, progress, timelines, and workflows using Monday.com.
- Use Excel to track event costs, attendance, timelines, and key performance indicators.
- Maintain event files, trackers, templates, and documentation.
- Maintain the CAP Events SharePoint site, ensuring it stays well structured, accurate, and up to date.
- Manage the CAP events calendar and the central Events inbox.
- Ensure CRM entries related to events are accurate and kept updated.
- Compliance, Budgeting & Approvals
- Prepare and submit business cases for events, ensuring alignment with internal policies and approval processes.
- Process event related expenses through Chrome River and FinOps.
- Track all event related costs accurately in Excel and maintain clear, organised financial records.
- Process Improvement & Innovation
- Identify opportunities to streamline event processes, tools, and workflows.
- Proactively propose and implement new methods, templates, automations, or systems to improve efficiency and quality.
- Collaborate with the Events Assistant to gather insights, analyse performance, and continuously enhance event operations.
- Community Impact & Team Support
- Lead CAP’s Community Impact initiatives and drive employee involvement with our Events Assistant.
- Provide flexible support for ad hoc event-related needs across the team.
