Role Overview
We’re seeking a Senior Project Manager with deep MICE and/or group travel/event expertise to own the full project lifecycle; discovery and concepting, pitch and budgeting, procurement and scheduling, through to flawless delivery and measured completion. You’ll lead a small, dynamic team, coordinate premium suppliers and stakeholders, and uphold our brand standards under pressure. Occasional on-site presence will be required, with a mix of client-facing moments and behind-the-scenes oversight.
Roles and Responsibilities
- End-to-end project ownership: Scope, plan, budget and deliver multi-day luxury programmes (meetings, incentives, celebrations, retreats and conferences) for HNW groups.
- Project design & pitching: Develop tailored itineraries and event concepts aligned to client objectives and our brand tone; present persuasive proposals that convert.
- Supplier & stakeholder management: Source, brief, negotiate and contract premium partners (venues, properties, transport, F&B, production, talent); maintain SLAs and contingency plans.
- Operational run‑of‑show: Build minute‑by‑minute ops plans; orchestrate back‑of‑house logistics and guest movements; act as the proactive, solutions‑focused lead on site when required.
- Team leadership: Coach, motivate and guide planners/coordinators; set clear priorities and QA gates; foster a collaborative, high‑standards culture.
- Financial control: Own budgets, margins and approvals; track changes; reconcile supplier invoices with Accounts; report variances and mitigations.
- Risk, compliance & well‑being: Identify risks early; implement contingency; uphold guest safety, privacy and property protocols.
- Tools & workflows: Maintain itinerary/document accuracy, keep CRM notes up to date for visibility, handover and reporting.
- Post‑event close: Lead debriefs, performance analysis and supplier reviews; capture re‑book opportunities and feed insights into playbooks.
Qualifications and Requirements
- Extensive experience (minimum 5 years) in luxury travel, events, and MICE/group programmes, with a proven track record delivering complex, high‑end experiences for HNW/UHNW audiences.
- Comprehensive project lifecycle expertise, including concept development, pitching, budgeting, planning, risk management, and post‑event analysis.
- Exceptional organisational and problem‑solving skills, with the ability to remain calm and decisive under pressure.
- Strong supplier and stakeholder management capabilities, ensuring seamless coordination and adherence to brand standards.
- Demonstrated leadership skills, with experience guiding and motivating a small, high‑performing team.
- Collaborative mindset, able to work effectively behind the scenes while understanding client expectations and stepping into client‑facing roles when required.
- Creative and adaptable approach, capable of designing tailored programmes that reflect brand identity and client goals.
- Proficiency with key tools and systems, including itinerary software, CRM platforms (e.g., Zoho), and Microsoft 365, with strong attention to detail in documentation.
