Our client is a fast-growing online fashion brand based in the heart of Manchester, delivering trend-led, commercial fashion to customers across the UK and international markets. As their business continues to scale, they are looking for a highly organised and commercially aware Fashion Merchandiser Admin Assistant to support their wholesale and merchandising team and play a key role in bringing our collections to market. Our client is looking for 1 year of experience working within a D2C fashion brand or wholesale merchandising. Purpose

To provide accurate, timely administrative support to the wholesale merchandising function, owning the day-to-day data, order and systems processes that keep wholesale trading running smoothly across our UK, EU and US accounts. The role is the operational backbone of the wholesale team - ensuring data integrity across NetSuite, Shopify and connected warehouse systems - with genuine scope to progress towards owning regions, accounts or brands.

Key Responsibilities

  • Order & Data Administration
    • Manually key and maintain wholesale sales orders, purchase orders and line-level data within NetSuite ERP, ensuring accuracy, consistency and completeness.
    • Set up and maintain product, customer and pricing data across all merchandising systems.
    • Process order amendments, cancellations and returns accurately and within deadlines.
    • Reconcile order and stock data between NetSuite, Shopify and warehouse systems, investigating and resolving discrepancies.
    • Maintain clean, consistent and audit-ready records across all systems.
  • Wholesale Account Support
    • Support the day-to-day administration of key wholesale accounts including JD Sports and Footasylum, spanning their UK, EU and US operations.
    • Prepare and process account orders, ensuring correct pricing, delivery windows and allocation.
    • Produce and maintain order confirmations, line sheets and account-specific reporting.
    • Liaise with account contacts and internal teams to resolve order, delivery and data queries.
    • Support the onboarding of new products and ranges into accounts.
  • Systems & Integrations
    • Act as a confident day-to-day user of NetSuite ERP for order, stock and data management.
    • Maintain product and order data within Shopify, ensuring it stays aligned with NetSuite.
    • Build and maintain reports and dashboards in PowerBI to support trading and account reviews.
    • Work closely with 3PL warehouses to ensure orders, dispatches and stock movements are accurately reflected across systems.
    • Apply working knowledge of Warehouse Management Systems (WMS) to track stock, dispatch and fulfilment status.
    • Identify, flag and escalate system errors, integration breaks or data mismatches.
  • Stock & Intake Support
    • Support intake tracking and the flow of stock from suppliers through to wholesale dispatch.
    • Monitor stock availability against confirmed orders, flagging shortfalls and risks.
    • Assist with the allocation of stock to accounts in line with agreed priorities.
    • Maintain accurate intake, delivery and dispatch records.
  • Reporting & Analysis
    • Produce regular and ad hoc reports on orders, stock, intake and account performance.
    • Support weekly trade and account reviews with accurate, timely data.
    • Help surface trends, risks and opportunities through clear, reliable reporting.
    • Maintain the trackers and reporting tools used across the wholesale team.

Skills & Experience

  • Minimum 1 year of experience in a merchandising, wholesale or stock/order administration role (sportswear, footwear or fashion preferred).
  • High level of accuracy and strong attention to detail when keying and managing large volumes of data.
  • Comfortable working across multiple systems – exposure to NetSuite ERP, Shopify B2B, PowerBI or WMS platforms is a strong advantage.
  • Good Excel skills (formulas, pivot tables, lookups).
  • Well organised, with the ability to manage a high-volume workload and consistently meet deadlines.
  • Clear communicator, comfortable liaising with both external accounts and internal teams.
  • Proactive, dependable and eager to develop.

This is a deliberately admin-focused role and a genuine entry point into wholesale merchandising. With strong performance, there is clear scope to take ownership of specific regions, accounts or brands and progress towards an Assistant Merchandiser position and beyond.
